An upcoming shopping mall is looking to hire an Administration Support Manager for their company. The Administration Support Manager oversees Administration, Human Resources, Legal, and Information Technology functions across multiple mall operations. This role ensures seamless operational support, efficient service delivery, regulatory compliance, people management, risk control, and organizational governance for 3–4 malls. The role leads functional managers in each domain and collaborates closely with Mall Managers and the GM to ensure high operational standards and business continuity.
Key Responsibilities
1. Strategic Planning & Leadership
- Develop and implement an integrated administration plan covering HR, legal, IT, and facility support functions.
- Provide leadership to functional managers and ensure alignment with organizational goals.
- Drive operational efficiency, service quality, and compliance across all malls.
- Support long-term planning related to workforce, technology upgrades, policy development, and administrative governance.
2. Administration & Facilities Support
- Oversee general administration, including office services, documentation control, asset management, and facility coordination.
- Ensure cost-effective procurement of administrative supplies and vendor services.
- Implement safety, security, and business continuity standards across all mall properties.
- Optimize processes such as housekeeping, maintenance coordination, logistics, transportation, and visitor management.
3. Human Resources Management
- Oversee recruitment, onboarding, HR operations, payroll review, and workforce planning for mall operations.
- Ensure consistent implementation of HR policies, performance management, training, and employee relations.
- Facilitate employee engagement, grievance handling, and disciplinary actions in accordance with company policies.
- Coordinate with leadership on succession planning, capability development, and organizational culture initiatives.
4. Legal & Compliance Oversight
- Manage legal matters including contracts, lease agreements (in coordination with Leasing), regulatory filings, and litigation support.
- Ensure the organization complies with national labor laws, commercial regulations, and internal policies.
- Strengthen risk management through policy frameworks, periodic audits, and compliance monitoring.
- Maintain relationships with external legal advisors and government authorities as required.
5. Information Technology Management
- Oversee IT operations including infrastructure management, networks, systems support, cybersecurity, and software solutions across all malls.
- Ensure timely resolution of IT incidents, system availability, and user support.
- Plan and supervise technology upgrades, digital transformation initiatives, and IT asset management.
- Ensure data security, IT policy compliance, and alignment with operational needs of all malls.
6. Performance Monitoring & Reporting
- Track KPIs and operational performance of Administration, HR, Legal, and IT functions.
- Review periodic reports and recommend improvements for better efficiency and compliance.
- Present updates to the GM on operational performance, risks, resource utilization, and functional achievements.
- Ensure documentation accuracy and reporting standards are upheld across all functional areas.
7. Stakeholder & Vendor Management
- Liaise with mall leadership, functional heads, external service providers, and regulatory entities.
- Oversee key vendor relationships covering admin services, legal consultants, IT vendors, and HR service providers.
- Lead negotiations for administrative contracts and service agreements to ensure cost-effectiveness and quality delivery.
Qualifications & Experience
- Bachelor’s degree in Business Administration, HR, IT, Law, or related field. MBA or master’s degree preferred.
- 10–15 years of experience across administration, HR, legal, or IT functions, preferably in malls, retail, hospitality, or multi-site operations.
- Strong experience leading multi-functional teams and managing operations across multiple locations.
- Deep understanding of regulatory compliance, HR operations, IT systems, and administrative control frameworks.
