Your Role In a Nutshell

The role of the People Coordinator is a diverse position playing a key role in the shared success of the People team. Providing day to day operational and administration support to the People team and HR related administration work for the Central WPP AUNZ team. The role also requires supporting the People Leads and People Operations Manager at a group level to implement processes accordance with the WPP AUNZ people strategy, relevant policies, and current legislation.

What You Should Spend Your Time Doing

In order for our business to work, you will be required to spend time of certain areas of the business. Supporting with the coordination and administration of tasks related to the HR suite of an employee’s lifecycle from onboarding, offboarding, operations and systems, document management, learning, talent, and compliance. Your key responsibilities are as follows:

  • Assist with the HR administration ensuring the team offers a high quality and consistent service, including the preparation of contracts of employment, letters communicating information to employees following changes in terms and conditions and any other documentation, whilst working to continually improve accuracy, processes and response times.
  • Maintaining employee files and ensuring all employee changes are reflected in key documents, trackers and systems (e.g. Org charts, Workforce, and other systems).
  • Apply the Joiner, Mover, Leaver (JML) process for all HR related tasks, and adhere to the WPP AUNZ compliance program (e.g. ensure the right approvals are received, pre-employment checks are completed etc).
  • Maintain current knowledge and understanding of employment regulations, industry trends, current practices, new developments, awards and applicable laws regarding human resources to ensure the WPP AUNZ agencies are up to date, informed and compliant.
  • Support the Chief People Officer, People Lead, and People Operations Manager to develop and communicate HR policies and procedures to ensure effective, fair and consistent management of all employees; ensure all WPP policies and procedures are well understood and adhered to by all employees.
  • Ensure the HR Community SharePoint site it up to date an accurate (including working with the team to update templates).
  • Manage the posting of ongoing job adverts for the purposes of Labour Market Testing requirements.
  • Conducting relevant checks on visa requirements for both new and existing employee applications, ensuring applications (and supporting requirements) are initiated within agreed timeframes.
  • Responding to Global WPP HR team with HR related requests as required
  • Support with L&D related activities for training courses (including logistics such as diary invites, coordination, communications, etc) and learning initiatives.
  • Support with the implementation of the WPP People strategy and key programs/ initiatives.

As our People Coordinator, you will have an interest in Human Resources, perhaps with a relevant qualification, although not essential. You will thrive in a fast paced environment as speed, yet accuracy is a must have. You will pride yourself on your attention to detail. You will enjoy working in the grey, and be flexible in your approach, whilst adhering to compliance, best practice and employment law.
