About us:

Once Upon A Time has been established for over 20 years and have head offices in London as well as further offices in New York & Los Angeles. Our Music division works with major & independent record labels, artist management companies and artists directly to create vinyl, CDs and award winning boxsets.


About the role:

The Project Manager and Administrator will work across both the Bespoke team and the Production team of the Music division, providing project management and administrative support.


The position requires strong organisational & communication skills, great attention to detail, the ability to work under pressure in a fast paced environment & an awareness of the ever-changing music marketplace. Our ideal candidate will be an enthusiastic & dynamic individual who takes initiative. They will have a strong passion for music & an interest in the music industry, as well as an understanding of creative music packaging and physical music formats.


Key responsibilities:

  • Providing administrative support to both the Bespoke and Production sub teams of the Music division
  • Raising supplier purchase orders for prototypes & test pressings
  • Organising domestic & international couriers
  • Quality control checking of finished product samples
  • Management of supplier delivery notes and delivery costs
  • Management of client print stock lists
  • Updating agendas for supplier meetings
  • Note taking at meetings
  • Producing creative hours reports and other reports as required
  • Account management of some independent record labels for standard products as required
  • Liaising with artworkers & designers to ensure all artwork is correctly received & processed
  • Liaising daily with both music industry clients & global supply partners to request and pass on all relevant information relating to manufacturing orders
