About The Role

As part of the People team, this role's primary responsibility is to manage the day-to-day administration of the joiner, mover, and leaver process across our Retail/Magic Office population. This role is critical in ensuring employee information is accurately recorded in our HRIS and feeds into our other processes. You'll also play an integral part in a number of People projects, helping to drive our strategy forward and deliver a MAGICAL experience for our CT Family!

Reporting to the Assistant People Operations Manager, this role will work across the People Operations team, whilst supporting the People Partnering Team in regions.

As People Operations Assistant you will

  • Ownership of issuing contracts and other new starter paperwork for Magic Office and Retail EMEA; chasing documentation when required
  • Manage the People Inbox and ensure all queries are flagged for the relevant team member or responded to accurately and in a timely manner
  • Onboarding new starters onto all people systems; ensuring 100% accuracy on Charlotte's Web (HRIS)
  • To issue amendment letters for change of roles and remuneration to Magic Office and Retail EMEA
  • To order end of probation and long service awards gifting for employees
  • Process any Magic Office & Retail EMEA leavers in Charlotte's Web and ensure Payroll have the correct final payment information
  • Responsible for all reference requests, both tenancy and employment, for current and ex-employees of the Company
  • Offer creative support as well as administrative support to the recruitment and people partnering department
  • Work closely with the wider People Team to review all people processes, with the aim to automate and streamline
  • Ensure the People Operations processes are running with polished efficiency - this includes data cleanses, process mapping in line with GDPR compliance, right-to-work collation, audit checks and ensuring employees' files are up to date
  • Support the wider People and Recruitment teams in any ad hoc activity such as reviewing supporting induction sessions
  • Working with the wider People Team, supporting with ad hoc projects or initiatives
  • Covering reception as and when needed - during peak times and holidays

Who You Will Work This

About You

  • Excellent written and verbal communication skills are essential
  • Proven capability to operate in a pressurised environment, requiring discretion, tact, diplomacy, and judgement when dealing with internal and external contacts
  • Demonstrated experience dealing with highly confidential information
  • A high degree of emotional intelligence
  • Gravitas and excellent people skills and the proven acumen to handle complex situations and multiple responsibilities
  • EMEA Retail experience desirable
  • Achieves results, with integrity
  • CIPD (Level 3 or 5) is desirable
  • Experience working in a similar HR role
  • Strong IT skills and a good aptitude in all MS office applications (including Excel, PowerPoint and Word)
  • Calm, level-headed and professional
