Job Description

Position Summary:

Chiquita is seeking an experienced and highly organized Executive Assistant to provide comprehensive support to our leadership team as well as ensure the smooth running of our office operations during a maternity cover period of approximately 6 months.

This is a pivotal role that combines proactive executive support, coordination across teams, and responsibility for maintaining an efficient, welcoming, and productive workplace environment. This role is 100% on-site.

Key Responsibilities:

  • Provide high-level administrative and organizational support to top management.
  • Manage international travel and prepare expense reports.
  • Coordinate meetings organization and the signature of legal documents maintaining confidentiality and discretion.
  • Prepare monthly reports, gather documentation, translate documents, and coordinate the process and approval of invoices.
  • Assist with various special projects and ad-hoc tasks as needed.
  • Assist with the day-to-day operations of the office, ensuring a well-organized and efficient environment.
  • Manage office budgets and contracts, purchasing, and expense reporting.
  • Review and process invoices, ensuring accuracy and timely booking in our accounting system.
  • Organize internal events within allocated budget.
  • Other duties as assigned.

Qualifications

  • Strong interpersonal and communication skills.
  • Confident in using office equipment, including phones, computers, printers, and MS Office.
  • Fast learner with excellent organizational and time management abilities.
  • Customer service oriented with a consistently pleasant and professional demeanor.
  • Ability to stay calm, adapt to changing priorities, solve problems efficiently and handle confidential information professionally.
  • Attention to details and accuracy in administrative tasks.
  • Punctual and reliable.
  • Able to follow directives but also able to operate autonomously.
  • Degree and previous relevant experience in an international environment required.
  • Fluent French and English are a must. Portuguese and/or Spanish would be a plus.
