The Role
As a Sales Assistant at CtrlPrint, you will play an essential role in supporting the Account Management team and keeping our sales operations running smoothly. You’ll ensure that processes are followed, customer documentation is accurate, and the team has everything they need to deliver great service to our clients.
You’ll be the go-to person for HubSpot administration, quoting and purchase order management, invoicing coordination, and process follow-up. You’ll also handle incoming customer queries and make sure the right person takes action — keeping communication flowing seamlessly across teams.

Key Responsibilities
- Team Support & Coordination
- Support the Account Management team with administrative tasks, reporting, and follow-ups.
- Coordinate internal communication and ensure all customer-related actions are tracked and completed.
- Maintain and update HubSpot with accurate account, contact, and deal information.
- Prepare documentation, quotes, and scope acceptance for review and approval.
- Keep shared sales materials, templates, and resources up to date and accessible.
- Process & Administration
- Manage the quotation process, ensuring approvals and accuracy throughout.
- Raising invoices — ensuring timely delivery and error-free documentation.
- Handle and coordinate incoming customer inquiries related to contracts, invoicing, or renewals.
- Track and follow up on internal approvals, renewals, and outstanding administrative actions.
- Support continuous process improvements within the Account management and Customer Success function.
- Work closely with Sales Operations to align on systems, data quality, and reporting.
- Customer Communication
- Interact with customers on administrative topics (invoices, POs, documentation, etc.) in a professional and friendly manner.
- Ensure customer requests are routed quickly to the right person in the team.
- Contribute to a positive and service-oriented customer experience in every interaction.
- System support
- Act as the HubSpot “go-to person” for the Account Management team — supporting users, maintaining data hygiene, and improving usage.
- Collaborate with Sales Operations on CRM best practices, automations, and reporting improvements.
- Strong communicator who thrives in a collaborative environment.
- Self-motivated with a positive, can-do attitude and willingness to learn.
- Highly organized, dependable, and service-minded.
- Detail-oriented with a strong sense of accountability and follow-through.
- Enjoys structure, process, and keeping others on track.
- 1–3 years of experience in sales coordination, administrative support, or account management assistance, ideally in SaaS or technology.
- Experience using HubSpot or another CRM system (HubSpot experience strongly preferred).
- Highly administrative, strong focus to details and structured approach.
- Comfortable working with POs, invoices, and customer documentation.
- Good general business understanding and interest in sales processes.
- Strong English skills; additional European languages are a plus.
- Proficient in Google Workspace and/or Microsoft Office.
