Role Summary

The HR Assistant will provide administrative and operational support to the Chief People & Sustainability Officer and the HR team. This role ensures smooth execution of HR processes, event coordination, vendor management, and performance management activities. The HR Assistant acts as a key liaison for internal stakeholders and external vendors, maintaining accuracy, timeliness, and confidentiality in all tasks.


Key Success Drivers including Accountabilities and Responsibilities

Accountabilities & Responsibilities Executive Support:

Maintain an organized calendar for the CPSO, schedule meetings, and ensure stakeholder attendance.

Act as the first point of contact for queries directed to the CPSO, ensuring prompt responses.

Provide general assistance on daily tasks for the CPSO.

Event & Brand Experience Support:

Collaborate with Brand Experience team to assist in logistics and paperwork for events and activities.

Serve as the point of contact for other locations regarding event coordination.

Performance Management:

Ensure timely completion of performance management activities as per schedule.

Vendor & Finance Coordination:

Raise PRs and POs for People Department projects, ensure approvals are timely, and avoid delays that impact execution.

Process invoices accurately and coordinate with Finance for timely payments.

Create a follow-up process for vendor payments.

Data & Inventory Management:

Maintain updated records of GMG office locations, POCs, and headcount details.

Create and maintain accurate inventory records for events and activations.


Functional/Technical Competencies

Strong organizational and time management skills.

Proficiency in MS Office Suite (Excel, Outlook, PowerPoint).

Knowledge of HR processes and systems.

Vendor management and procurement process understanding.

Calendar and meeting management tools.

Understanding Coupa.


Educational Qualifications

High school diploma or equivalent (mandatory)

Bachelor's degree in Human Resources, Business Administration, or a related field (preferred)

Additional certifications in HR operations or administrative support are a plus


Experience

1 to 3 years of experience in HR administration or clerical roles (preferred)

Exposure to tasks such as document management, data validation, and employee record maintenance

Familiarity with HRIS systems and employee verification processes is advantageous
