We’re looking for an Assistance Specialist who will play a key role in supporting company executives — helping with coordination, business travel and essential processes that keep OBRIO running smoothly. In this role, you’ll become a trusted partner, taking ownership of operational details and freeing up leaders’ focus for strategic decision-making.

What You’ll Do

  • Coordinate business trips, strategic sessions, offsites and meetings for C-level and leadership team (end-to-end logistics, schedules, bookings, documentation);
  • Support C-level with work-related and personal tasks;
  • Organize business travel and conference participation for the OBRIO team (flights, accommodation, transfers);
  • Plan and coordinate logistics for team events (Q-events, team buildings, hackathons, offsites);
  • Maintain and improve travel, relocation policies and handle unforeseen travel issues (changes, cancellations, emergencies).

What We Expect

  • At least 1.5 years of commercial experience in coordinating business activities (travel, events, meetings or executive support);
  • Hands-on experience with end-to-end travel coordination (bookings, hotels, transfers, visas, schedule management);
  • Strong organizational skills and the ability to manage multiple tasks in a dynamic environment;
  • High level of ownership and initiative: independently driving tasks from start to result and improving processes;
  • Experience managing travel budgets and optimizing costs;
  • Confident user of Google Workspace (Calendar, Docs, Sheets);
  • English — Intermediate+ level, sufficient for written communication and day-to-day conversations.
