Job Description
Are you a highly organised and proactive person with proven experience of supporting executives? We are looking for an Executive Assistant to support the Secretary General and President in their daily work in a proactive, efficient and professional manner. This involves managing their calendars, preparing for and following up on meetings as well as general administrative and logistical support. Do you have a keen eye for detail? Are you a socially skilled person who is ready to work in an international environment? Do you have a flexible and proactive attitude? Do you enjoy working independently within a small team? Do you have experience with the most common MS Office applications? Are you fluent in English and French, and do you speak any other European languages? Overview Of Tasks
More specifically, your tasks will include:
- Manage and prioritize complex schedules, ensuring optimal use of time and smooth coordination of internal and external commitments
- Prepare and follow-up meetings, and ensure delivery of tasks (program, briefings, documents, presentations, triggering follow-up action, etc.)
- Liaise with colleagues and external stakeholders to facilitate effective communication and information flow
- Contribute to process improvement and organizational efficiency through proactive problem-solving and initiative
- Maintain office systems, including email, monitoring and filing systems (databases, dashboards, etc.)
- Ensure easy continuation of office management
- Undertake other duties if requested
- Bachelor or Master degree or equivalent by experience
- Minimum of 3 years of experience in the field of executive assistance within EU affairs
- Excellent analytical skills – capable to quickly analyse and summarise complex data
- Self-confident manner, very good communication skills and ability to build effective relationships
- Attention to detail and high level of accuracy
- Excellent interpersonal skills and be a team player
- Strong organisational and multitasking skills with the ability to manage multiple priorities in a dynamic environment.
- Fully IT skilled, with good knowledge of MS Office applications and remote meeting applications (e.g. Zoom)
- Fluent in English and French – Dutch is an asset
The vacancy, based in Brussels, is a full-time position (38 hours per week) with a permanent contract under Belgian law. Applicants must have the right to work in Belgium. SMEunited offers a competitive salary package consisting of a gross monthly salary (ranging from €3.700 to €4.500 according to relevant experience) and several additional in-kind benefits.
