Office Assistant

Your Responsibilities
- In charge of office management and reception responsibilities.
- Scanning, printing and saving executed documents.
- Arranging for execution of documents.
- Manage diaries across various global time zones.
- Coordinate meetings (both internal and external), including preparation of meeting rooms and materials (including printing and binding).
- Arrange travel and accommodation for the regional team.
- Provide support to visitors from overseas offices.
- Coordinate meeting room arrangements and hospitality
- Prepare and submit expense reports monthly in accordance with company policy.
- Maintain confidential files for team members in compliance with GDPR.
- Handle routine inquiries and confidential correspondence, as well as sorting post.
- Assist in planning social events within the team.
- Perform other ad hoc duties as requested by the team.
- Carry out office management duties such as stationary orders, printer maintenance, beverages and snacks etc.
Your profile
- Fluent in English with good knowledge of French
- Proven track record as an Assistant, Executive Assistant or Office Manager within a corporate environment
- Proficiency in Microsoft Outlook, Word, and PowerPoint
- Knowledge of Diligent Boards
- Proactive with the ability to work independently or as part of a team
- Able to prioritize tasks decisively and resourcefully
- Attention to detail
- Flexible and adaptable. Able to cope with constantly changing priorities
- Resilient with a strong team focus
- Strong organizational and communication skills
Base Salary: maximum €50,000–€55,000 gross per year, commensurate with experience.
