Job Description

We’re looking for a PMO Coordinator to help keep our growing project portfolio running smoothly across Australia and the US.

This is a 12 month fixed term contract role that sits within the PMO and plays a critical part in keeping calendars aligned, reporting on track, and governance forums running seamlessly - so our Project Managers and leaders can focus on delivery.

What you’ll be doing

This is a coordination-heavy role where structure, follow-through and clarity really matter. You’ll:

  • Maintain the AU and US PMO functional calendars, ensuring all governance forums, launches, reporting cycles and key rhythms are clearly sequenced and communicated
  • Support portfolio-level reporting, ensuring project milestones, risks and statuses are accurate and up to date
  • Coordinate key governance forums including Steering Committees, Advisory meetings and Monthly Food Focus
  • Prepare agendas, distribute pre-reads, manage meeting packs and ensure everything is delivered on time
  • Capture and distribute clear minutes, decisions and action logs within agreed timeframes
  • Own the fortnightly reporting cycle, including chasing inputs, validating data and preparing clean summaries
  • Maintain an audit-ready repository of PMO documentation, templates and governance artefacts
  • Continuously improve PMO templates, trackers and reporting processes to make them simpler and more efficient

What we’re looking for

You’re organised, dependable and enjoy working in structured environments:

  • 2+ years’ experience in project coordination or supporting a PMO or portfolio team
  • Strong organisational skills with the ability to manage multiple deadlines across workstreams and markets
  • Experience preparing agendas, minutes, governance packs and reporting summaries
  • Confident using tools like Smartsheet, Teams, SharePoint, Excel and PowerPoint
  • High attention to detail with strong written communication
  • Comfortable coordinating stakeholders and following up professionally

Bonus points if you have experience supporting Steering Committees, portfolio reporting, or working in QSR, retail, hospitality, FMCG or other multi-site environments.
