Job Description
We are seeking a detail-oriented and proactive Administrative Assistant to support our project engineers and project management team. The ideal candidate will assist in document management, coordination, and administrative tasks to ensure smooth project operations.
Key Responsibilities
- Assist project engineers in preparing and organizing claim supporting documents, including site records, correspondence, progress reports, and manpower reports.
- Ensure accuracy, completeness, and timely submission of all claim documentation.
- Maintain a systematic filing system (both hard and soft copies) for project correspondence, approvals, drawings, and other records.
- Prepare summaries, checklists, and supporting schedules as directed by the engineer or project manager.
- Liaise and coordinate with clients to obtain necessary information, documents, or confirmations.
- Follow up on pending submissions, approvals, and correspondence with external stakeholders.
- Handle general office administrative tasks such as data entry, correspondence, and document control.
- Maintain confidentiality and ensure all documentation meets contractual and company requirements.
- Perform any other duties as assigned by immediate supervisors or the Head of Department (HOD).
- Minimum 1 year of relevant work experience.
- Diploma, ITE qualification, or related field.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Familiarity with document control systems is an advantage.
- Strong organizational skills, attention to detail, and ability to meet deadlines.
- Effective communication and interpersonal skills.
- Work Schedule: 5-day work week.
- Location: Office at No. 3 Sungei Kadut Drive, Singapore 729556 (North Singapore)
