As our People Operations Specialist, you will be the primary People Ops contact for our team across Switzerland, the UK, and Poland (~120 employees). This is a hands-on role focused on running smooth, reliable HR operations day to day — from contracts and onboarding to payroll coordination and employee support.
Based in Warsaw, you’ll also act as the local People & Office contact for Poland, supporting office-related topics and ensuring a great onsite employee experience. Your mission is simple: make HR administration easy, scalable, and efficient, by standardising processes and automating wherever possible.
- HR Administration & Employee Support
- Own end-to-end HR administration across CH, UK, and PL (hire to exit)
- Act as the go-to person for employee HR questions and requests
- Maintain clear HR documentation and self-service resources
- HR Processes & Systems
- Run and optimise HR systems (e.g. BambooHR, Small Improvements, Go1)
- Standardise and improve HR processes across countries
- Automate workflows, reporting, and recurring admin tasks
- Identify inefficiencies in HR admin and implement smarter, simpler solutions
- Explore practical AI or automation tools to reduce manual work
- Payroll, Benefits & Compliance
- Coordinate monthly payroll with internal teams, Finance, and external providers
- Support country-specific requirements (e.g. UK pensions, statutory processes)
- Ensure HR data accuracy and compliance with local labour laws
- Poland Office & Local Operations
- Act as local People & Office contact in Warsaw
- Coordinate basic office administration and vendors
Requirements
- 3 - 5 years’ experience in HR Operations / HR Administration / People Ops
- Hands-on experience running day-to-day HR admin in an international environment
- Exposure to multi-country HR operations; UK experience strongly preferred
- Comfortable working independently and owning topics end to end
- Strong interest in process improvement and automation
- Being fluent in English and Polish is a must, fluent in German is a clear plus
Salary & benefits
- Base: PLN 11'000 – 14'500 monthly base salary
- 10% target bonus; ESOP eligibility
