Position Overview

The Planning Assistant supports the Resource Planner in delivering effective workforce planning and rostering for passenger rail operations. The role focuses on maintaining accurate rosters, monitoring attendance data, supporting compliance requirements, and assisting with real-time operational adjustments to ensure safe, efficient, and reliable delivery.


Roles and Responsibility

  • Assist in preparing, updating, and maintaining staff rosters and duty schedules in line with service timetables and maintenance requirements.
  • Support the allocation of personnel across Operations and Engineering roles to ensure adequate coverage and skills availability.
  • Update rosters to reflect planned leave, training, and certification requirements.
  • Support real-time resource adjustments in response to unplanned absences, incidents, or service changes.
  • Assist with contingency planning activities by maintaining standby lists and escalation contacts.
  • Coordinate with operational teams to communicate roster changes and deployment updates.
  • Maintain accurate attendance, overtime, and absence records.
  • Assist in analyzing roster and attendance data to identify trends, risks, and improvement opportunities.
  • Prepare routine reports on utilization, overtime, and compliance for review by the Resource Planner.
  • Support compliance with safety, fatigue management, labour laws, and local regulatory requirements.
  • Maintain accurate documentation and records to support audits, inspections, and internal reviews.
  • Ensure planning data is accurate, up to date, and securely stored.
  • Liaise with Operations, Engineering, HR, and Service Planning teams to support seamless workforce deployment.
  • Act as a point of contact for planning-related queries at an operational level.


Desirable qualifications, skills and experience

  • Bachelor's degree or Diploma in Business, Operations, Logistics, Engineering, or a related field (preferred).
  • 3+ years of experience in resource planning and roster planning or a similar role, with a strong background in the railway industry or Transportation or Aviation sector or a related field.
  • Proficiency in resource planning software and MS Excel.
