Employee Relations Administration Assistant


We are hiring on behalf of our client for an Employee Relations Administration Assistant to join their team in Switzerland. If you are highly organised, detail-oriented, and confident working independently, this is your chance to make an impact.


Location: Bern, Switzerland (with occasional travel to Zurich)

Duration: 6 Months


About the Role

You will provide hands-on administrative and analytical support to the Employee Relations (ER) team. From coordinating meetings and preparing documentation to managing data and producing reports, you’ll ensure processes run smoothly and compliantly. This is a practical, fast-paced role where discretion and accuracy are essential.


What You’ll Do

Administrative Support:

  • Schedule and coordinate employee meetings (virtual and in-person).
  • Prepare documentation for ER meetings, investigations, and consultations.
  • Maintain accurate records and liaise with HR, payroll, and legal teams.

Data & Reporting:

  • Update and maintain Excel trackers for ER cases and timelines.
  • Produce regular and ad hoc reports to support decision-making.
  • Perform data checks and basic analysis for accuracy.

Systems & Process Support:

  • Work with HR systems and tools to manage ER administration.
  • Ensure compliance with data protection requirements.
  • Identify opportunities to improve workflows.

Proactive Support:

  • Anticipate team needs and act without being prompted.
  • Flag risks early and propose practical solutions.
  • Adapt quickly to changing priorities.


What We’re Looking For

Essential:

  • Strong Excel skills (VLOOKUP, data manipulation, reporting).
  • Experience with Mail Merge in Microsoft Office.
  • Comfortable with numerical data and calculations.
  • Fluent in English and German (spoken and written).
  • Excellent organisational skills and attention to detail.
  • Ability to manage multiple tasks under pressure.
  • Confidence handling sensitive information.

Desirable:

  • Experience in HR or Employee Relations support.
  • Familiarity with HR systems and workflows.
  • Advanced Excel skills (Pivot tables, Macros).
  • Swiss German language skills.

Travel Requirement

Occasional travel between Bern and Zurich to support ER activities.
