Operating under the umbrella of a holding structure with global partnerships and strategic business units, we are looking for a Executive Assistant to the CEO who will directly contribute to the rhythm of the executive office and support the leadership agenda with discretion and agility.
The Executive Assistant to the CEO provides comprehensive and high-level administrative support, ensuring the effective coordination of the CEO’s schedule and the seamless execution of daily and strategic business activities. This role serves as a trusted liaison between the CEO, leadership teams, external stakeholders, and group-level functions, ensuring information flows with discretion, accuracy, and professionalism. Key responsibilities include managing the CEO’s calendar, travel logistics, and executive correspondence with strong attention to detail and confidentiality. The role involves coordinating cross-functional meetings, supporting board-level preparations, handling documentation processes, and tracking key follow-ups and deadlines.
Executive Assistant will:
- Act as a central point of contact for both internal and external stakeholders, including board members, group functions, and affiliated entities
- Coordinate logistics and communication for executive visits, internal events, and corporate gatherings
- Provide support in documentation workflows including reporting, approvals, digital archiving, and purchasing requests
- Partner with relevant teams to ensure accurate and timely delivery of materials, signatures, and decision support documents
- Contribute to a positive and inclusive office environment by supporting internal celebrations, protocol arrangements, and executive-level hospitality
- Take part in budget-related administrative tasks such as invoice processing, corporate gifts, expense tracking, and system entries
- Support selected operational processes in collaboration with administrative services, IT, finance, and HR functions
This position requires a detail-oriented, agile, and solution-focused professional who thrives in a fast-paced environment, can anticipate needs, manage multiple priorities, and represent the CEO Office with integrity, tact, and professionalism.
What are we looking for in this position?
- Bachelor’s degree
- Experience in executive-level administrative roles within a corporate or multinational environment
- Demonstrated capability in handling sensitive and confidential information with sound judgment
- Strong planning, prioritization, and time management skills with excellent attention to detail
- Excellent command of English, both written and verbal
- Proficiency in Microsoft Office Suite and familiarity with modern business tools and systems
- Strong interpersonal and communication skills, with a collaborative and inclusive approach
- Comfort working in a dynamic, fast-paced, and results-oriented organization
