Junior Project Manager – Higher Education
We are seeking a capable and motivated Junior Project Manager to support the delivery of technology-enabled initiatives within a leading higher education organisation. This role is ideal for someone with hands-on project coordination and delivery experience who is ready to take ownership of small to medium projects or workstreams, particularly within an IT or digital environment.
The successful candidate will bring strong scheduling, dependency management, and stakeholder engagement skills, and will thrive in a structured yet collaborative university setting.
WHAT’S ON OFFER
- $120,000 Base + Super
- 12-Month Fixed Term Contract
- Melbourne CBD.
- Hybrid working model, 2 days in office.
- Exposure to working alongside a well-established Australian Uni.
THE ROLE:
Reporting into the Project / Program leadership team, you will be responsible for coordinating and delivering assigned projects or workstreams end-to-end.
Key responsibilities include:
Project Coordination & Delivery
- Build and maintain detailed project schedules, work breakdown structures (WBS), RAID logs, and RACI matrices
- Coordinate cross-functional tasks, track progress, and remove blockers
- Facilitate stand-ups, workshops, and regular status meetings
- Manage small to medium projects or workstreams across the full delivery lifecycle (scope, plan, execute, monitor, close)
- Prepare and present project status reports covering timeline, budget, risks, issues, and dependencies
- Drive change control activities, assessing impacts and updating baselines
- Support UAT planning, defect triage, and acceptance of deliverables
- Maintain high-quality project documentation including charters, plans, decision logs, and meeting minutes
Stakeholder Management & Communication
- Act as the primary point of contact for assigned workstreams
- Manage stakeholder expectations and communication cadence
- Facilitate requirements, prioritisation, and retrospective workshops
- Deliver clear, concise communications tailored to executives, sponsors, and delivery teams
Governance, Risk & Finance
- Adhere to PMO standards, templates, and governance requirements
- Proactively identify, track, and mitigate project risks and issues
- Track budgets, forecasts, and actuals
- Support vendor management, SOWs, invoicing, and procurement activities

SKILLS & EXPERIENCE:
- 3–6+ years’ experience in project coordination or junior project management roles
- Demonstrated hands-on delivery experience, owning scope, schedules, risks, and stakeholders
- Experience coordinating multi-disciplinary teams (IT, product, engineering, operations, vendors)
- Practical knowledge of Agile (Scrum/Kanban) and Waterfall delivery approaches
- Strong scheduling, dependency management, and reporting capability
- Excellent communication, facilitation, and stakeholder management skills
- Bachelor’s degree in Business, Technology, Engineering, or equivalent practical experience
- Experience within higher education or similarly complex environments is highly regarded
- MS Project, Smartsheet, or equivalent scheduling tools
- Jira and Confluence for backlog, sprint, and documentation management
- Microsoft 365 (Teams, Excel, PowerPoint, SharePoint)
- Excel for reporting and dashboards
- Miro or Lucid for process mapping and WBS development
