Summary
The primary purpose of the role is to support the full employee life cycle administration from a Human Resources perspective across the International and Technical Operations functions.
Duties And Responsibilities
Recruitment
- Interviews scheduling and first point of contact for candidates
- Interview travel arrangements & follow-up
- Manage master agreements with various recruitment agencies
- Manage the employee life cycle process set-up and administration from hire to retire (production of employment contracts, work permits authorizations, vacation, separations, checklists, work certificate, etc.) for the assigned employees’ population.
- Manage the new employee’s onboarding (i.e. creation in HR database, collection of documents), including the Induction program for new employees.
- Manage and update all HR templates.
- Manage working time and absence management (working time tools, vacation entitlement, reports for HRBP).
- Organize the maintenance and the management of employee files according to all laws and regulations in Switzerland and oversight in local countries.
- Further develop and continuously improve all aspects related to HR administrative processes, documents and checklists.
- Administer the relocation costs in Switzerland (language training, tax, tracking costs, liaise with the provider, etc.).
- Manage HR suppliers, contract, purchase order creation and follow-up on invoices and costs vs budget (accruals)
- Manage contract signature, file and full onboarding (including new hire notification) for Contractors (temporary employee) and new hire notification for consultants.
- Provide HR Team support (schedule meetings, manage Teams channel and HR mailbox)
- Manage surveys and audit
- Contribute positively to a strong culture of business integrity and ethics
- Act within compliance and legal requirements as well as within company guidelines
- Strong professional experience in a similar role, ideally in a multinational company. Pharma industry is a plus.
- Relevant HR education is a plus such as HR Certificate or Brevet HR.
- Excellent HR administration knowledge and expertise.
- Payroll and legal knowledge of different European countries are an asset.
- Strong experience with various HR management systems.
- Good project management experience.
- Be reliable, timely and accurate with high integrity to manage confidential information.
- Attention to details and ability to handle several tasks simultaneously.
- Be customer oriented with excellent interpersonal skills.
- Excellent organizational skills and ability to work independently.
- Team work spirit, adaptable and self-motivated.
- Very good knowledge of Microsoft Office tools
- Fluent in English, any other European language will be an asset.
