JOB PURPOSE & SPECIFIC RESPONSIBILITIES


Assistant Manager- QMS & Safety shall help to establish and monitor the Quality, Risk and Safety Management Systems to ensure compliance of ground handling operations with regulatory, customer airlines, industry and AISATS requirements and ensure the effectiveness of corrective actions implemented. He/she will be independent of operational responsibilities and accountabilities at all times to avoid a conflict of interest and will report functionally to Head- QMS and Safety.

  • Models, demonstrates and promotes the organizational culture that fosters safety practices through effective leadership and in line with the mission, vision and core values of the organization to redefine experiences;
  • Accountable for monitoring every aspect of the QMS/QC, Risk and Safety function;
  • Promote QMS and SMS awareness within the organization;
  • Well versed with all policies and procedures of the organization(operational and support functions) as well as customer airlines, industry and regulatory requirements;
  • Conduct audits, spot checks, observations as per approved plans and notify responsible authorities of non-conformities observed including evaluation of methods used;
  • Identify hazards and conduct risk assessments and carry out routine investigations for mitigation of identified hazards;
  • Conduct accident/incident/near miss investigations for all such events in a timely manner;
  • Follow up on implementation of corrective action plans implemented by operations to ensure effectiveness;
  • Monitor, measure and analyze operational parameters within the organization and make recommendations for continuous improvement;
  • Monitor the document management system to account for identification and traceability of processes and records;
  • Monitor, update and track all required audits, checks, observations for completeness and effective communication and update all parties concerned;
  • Ensure the protection of data archives and the integrity, security, confidentiality and privacy of data, information and knowledge of AISATS;
  • Accountable for ensuring currency of his/her individual certifications as part of continuity and self-assessment;
  • Carry out any other duties and responsibilities as defined by the corporate Heads.


In addition, where the Assistant Manager- QMS and Safety is the function in charge at the BU, he/she shall:

  • Continue to represent the corporate functions of QMS and Safety at the BU;
  • Build and maintain an excellent working relationship with all stake holders at the BU to ensure promulgation, promotion and awareness of all QMS, Risk and Safety related policies and procedures;
  • Disseminate QMS, Risk and Safety related information within the BU and monitor for adherence;
  • Act as an interphase for the BU at station specific external and internal meetings;
  • Coordinate on external audits and facilitate updates between the implementers and external authorities for closures and implementation of corrective actions for non-conformities observed;
  • Conduct Management Reviews at BU level as per the approved audit plan;
  • Acknowledge and ensure implementation of all related parameters as defined by the Corporate Heads;
  • Conduct special purpose audits, verification checks, quality and safety inspections as required and directed by the Corporate Heads;
  • Complete the required documentation including the monthly report and ensure compliance to maintenance of appropriate operational documents in line with organizations record retention policy;
  • Conduct appropriate data analysis and manage track required statistics to be used for continual improvement;
  • Ensure all local requirements specific to the BU’s are accounted for and documented at the BU by appropriate operational personnel;
  • Coordinate to conduct and/ or facilitate active participation to the emergency mock drills/ exercises by the Aerodrome Operator or customer airlines.
  • Lead, mentor, coach, counsel and update all personnel working under him/her to maintain discipline and efficiency as part of team development and welfare;
  • Where required, prepare duty roster, manage and assign resources for optimum utilization;
  • Take initiative and plan out all activities in an organized, phased and timely manner
  • Responsible and accountable for overall quality, safety and security of operations.
  • You will be responsible and accountable to make necessary operational decisions related to safety and security matters at all times whilst on duty.


EDUCATIONAL QUALIFICATIONS

  • Graduate/diploma holder with a minimum of 5 years of ground and cargo operational experience including at least 02 years in a supervisory capacity.
  • Preferably a certified Internal Auditor with in-depth comprehension and knowledge of auditing techniques.


RELEVANT EXPERIENCE

  1. Have extensive knowledge of all operational areas namely passenger services, ramp (including apron, baggage, load control and GSE) and cargo functions;
  2. Well versed with support functions including HRA, procurement, IT and training ;
  3. Demonstrated ability in managing budget preparations and executions and presentations.
  4. Experience in operating MS Office applications.
