Key Responsibilities

Project Financials & Reporting

  • Manage project budgets, forecasts, and expenditure tracking.
  • Prepare and present regular financial and progress reports to Project Managers and senior leadership.
  • Process purchase orders, invoices, and vendor payments in line with company policies.

Project Coordination & Scheduling

  • Maintain master project schedules, milestones, and deliverables.
  • Coordinate onboarding and offboarding of project staff, contractors, and vendors.
  • Manage access requirements, passes, and site inductions.

Documentation & Governance

  • Maintain accurate and up-to-date project documentation, registers, and logs.
  • Ensure compliance with internal governance frameworks and regulatory requirements.
  • Support risk management processes and maintain issue/action registers.

Stakeholder Engagement

  • Act as the central liaison between Project Managers, internal departments, and external vendors.
  • Organise and facilitate project meetings, workshops, and briefings.
  • Prepare agendas, meeting minutes, and follow-up actions.


Skills & Experience

  • Proven experience as a Senior Project Coordinator or Project Administrator in large-scale relocation, construction, or mining projects.
  • Strong financial management skills, including budget control and reporting.
  • Advanced organisational skills with the ability to manage multiple priorities.
  • Proficiency in Microsoft Office Suite and project management software (e.g., MS Project, SharePoint, Primavera).
  • Excellent written and verbal communication skills.
  • Strong stakeholder management and negotiation abilities.
