Our client is a specialist biotherapeutics manufacturer with over a century of experience treating various diseases worldwide. They are committed to patients with coagulation disorders, immunological diseases, enzyme deficiency diseases and other rare diseases.
Our client is current looking for an experienced Employee Relations Administration Assistant for 6 months contract to be working from Bern with visits to Zurich office from time to time.
In this role, we are looking for candidates who are fluent in German and English, has excellent MS Excel skills like VLook, Pivot tables, Macros and not limited to reports and data entry.
Main Responsibilities:
- Coordinate and schedule employee relations meetings, including diary management, room bookings, and virtual meeting setup across Bern and Zurich.
- Prepare, collate, and manage confidential documentation for investigations, hearings, and consultations.
- Maintain accurate, well-organised digital and physical case files in line with data protection and confidentiality requirements.
- Liaise with HR, payroll, legal, and other internal stakeholders to gather and verify case-related information.
- Maintain and update Excel trackers for ER cases, actions, deadlines, and outcomes.
- Produce regular and ad-hoc Excel reports to support ER decision-making and workload planning.
- Perform data checks, basic analysis, and calculations to ensure accuracy and consistency of ER records.
- Support ER Managers with data preparation and administrative tasks throughout case lifecycles.
- Use HR systems and internal tools to track, record, and report on employee relations activity.
- Proactively identify risks, gaps, and process improvements, adapting quickly to changing priorities and high-volume periods.
Qualifications and Experience:
- Relevant working/residency permit or Swiss/EU-Citizenship required
- Atleast 2-3 years of experience in a similar administrative roles or HR assistant roles.
- Advanced Excel skills, including VLOOKUP (or equivalent), pivot tables, data manipulation, reporting, and basic analysis to support ER case tracking and decision-making.
- Strong capability using Microsoft Word and Excel Mail Merge to produce accurate, confidential ER correspondence and documentation.
- Confident working with numerical data, calculations, and timelines in a detail-driven, compliance-focused environment.
- Fluent in English and German (spoken and written), with Swiss German as an added advantage for local employee relations support.
