Job Requirement:
Create and maintain filing systems. Create and type office correspondence using a computer. Distribute and route mail. Order and track Human Resources office supplies and forms. Answer phone calls and record messages. Create new employee personnel file. Assist walk-in candidates with application procedures. Maintain space designated for completing applications and ensure it is clean, well maintained, and accessible to individuals with disabilities. Respond to questions, requests, and concerns from employees and management regarding company and Human Resources programs, policies and guidelines. Inform Human Resources management of issues related to employee relations within the division or property. Maintain confidentiality and security of employee and property records, files, and information. Ensure accurate maintenance of all employee records and files (e.g., interview documents, I-9's).
Follow all company policies and procedures; ensure uniform and personal appearance are clean and professional; maintain confidentiality of proprietary information; protect company assets. Report accidents, injuries, and unsafe work conditions to manager. Welcome and acknowledge all guests according to company standards. Speak with others using clear and professional language; prepare and review written documents accurately and completely; answer telephones using appropriate etiquette. Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees. Ensure adherence to quality expectations and standards. Enter and locate work-related information using computers and/or point of sale systems. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by Supervisors.
Key Duties and Responsibilities:
- Regularly communicates with staff members and maintains good relations.
- Receive and attend to visitors to the Human Resources Office.
- Responsible to ensure all signatory requirements for the Director of HR.
- Update of Marriott MGS and positions that are expired, shortlisting of CVs and subsequent sharing of these CVs to the relevant Department Head
- Creating and monitoring of all staff files ensuring that all is in place as per audit requirements.
- To support HR projects as and when required.
- Responsible and accountable for associate’s passport and to issue if requested with proper documentation.
- Full usage of HR System OASYS along with input of new starters and staff details and submission of timesheets and annual leave requests for the Dept. Also, updating of residence visa and emirates ID expiry in the system.
- Responsible in preparing HR related letters such as employment certificate, salary certificate, NOC letters for embassies etc., as requested by staff members.
- In-charge of new joiners document signing, and locker management.
- Maintain and control office supplies/stocks, order in BSS and issue them as required.
- Maintain current information and records of suppliers of training resources and materials.
- Prepare Staff Training & Events Calendar and corresponding nomination sheets on a monthly basis and communicate it by the 20th of each month.
- Prepare attendance sheets, handouts and necessary materials for training sessions.
- Organize and conduct Hotel Tour and Abu Dhabi City Tour for new joiners.
- Assist in creating Brand Awareness among staff members.
- Support the Grooming Policy fully.
- Organize In-House Experience as part of the Staff Member Property Experience.
- Assist with preparation for Team Briefing/Town Hall Meetings.
- Perform special assignments, projects, and duties as assigned by the Director of Human Resources.
Education: High school diploma or G.E.D. equivalent.
Related Work Experience: At least 1 year of related work experience.
