We are seeking a highly professional and proactive Executive Assistant to provide high‑level administrative, secretarial, and organizational support to C‑suite leadership. The role requires strong judgment, confidentiality, and the ability to manage complex schedules, correspondence, and coordination across multiple stakeholders. The Executive Assistant will serve as a key point of contact, enabling senior executives to operate efficiently in a fast‑paced environment.
KEY ACCOUNTABILITIES:
- Provide comprehensive executive support to C‑level leaders, including calendar management, meeting coordination, travel arrangements, and day‑to‑day administrative assistance.
- Manage executive communications by handling correspondence, emails, calls, and visitor interactions with professionalism, discretion, and efficiency.
- Prepare, review, and format high‑quality documents, reports, presentations, and briefing materials for internal and external stakeholders.
- Coordinate executive meetings: prepare agendas, circulate materials, take minutes, and follow up on action items to ensure timely closure.
- Support executive‑level reporting by compiling, tracking, and ensuring accuracy and timely submission of required reports.
- Act as a liaison between the executive office and internal departments, external partners, and service providers.
- Support budget tracking and follow‑up in coordination with the executive and relevant departments, ensuring accurate documentation and adherence to internal processes.
- Assist in procurement coordination, including follow‑up on purchase orders, invoices, and payment status with relevant stakeholders.
- Maintain up‑to‑date records related to HR administrative matters such as leave tracking, assignments, and key personnel data.
- Ensure all documentation and communications adhere to organizational standards, branding guidelines, and confidentiality requirements.
- Monitor office supplies for the executive office and coordinate orders as needed.
- Interpret and apply organizational policies and procedures in daily operations while escalating matters as appropriate.
QUALIFICATIONS, EXPERIENCE and SKILLS:
- Bachelor’s degree in Business Administration or a related discipline.
- Minimum of 5 years’ experience in a senior administrative or executive assistant role, preferably supporting C‑suite or senior leadership.
- Strong written and verbal communication skills, including report writing and executive correspondence.
- Excellent command of English; Arabic is an advantage.
- Advanced proficiency in Microsoft Office (Word, PowerPoint, Excel).
- Highly organized, detail‑oriented, and able to manage multiple priorities in a fast‑paced environment.
- Demonstrated professionalism, discretion, and ability to handle confidential and sensitive information.
- Strong interpersonal skills with the ability to interact effectively at all levels of the organization.
