  • Coordinate and administer the full bid and tender process from receipt to submission.
  • Prepare, format, compile, and upload bid and tender documents in line with company instructions.
  • Ensure accuracy, completeness, compliance, and consistency of all bid submissions.
  • Control, manage, and archive bid documentation, including version control and naming conventions.
  • Request, collect, and follow up on required bid inputs from internal departments.
  • Maintain up-to-date standard company documents (licenses, certifications, CVs, policies, etc).
  • Organize bid meetings, site visits, clarifications, and internal reviews.
  • Communicate bid requirements, deadlines, and updates to relevant stakeholders.
  • Liaise with clients or tender authorities on administrative matters with management approval.
  • Support post-submission activities, clarifications, and contract handover documentation.
  • Maintain bid libraries, templates, and historical records for future use.
  • Ensure confidentiality and secure handling of commercial and sensitive bid information.
  • Submit bid documents electronically or physically only after required internal approvals.
  • Comply with company policies, quality management systems, and tender governance procedures.
