he Business Operations Coordinator plays a critical support role within the business operations team, focusing on procurement, reporting, and financial quality assurance. This position is ideal for someone highly organized, detail-oriented, and proficient in Microsoft Excel and Word.
Microsoft’s Cloud Operations & Innovation (CO+I) is the engine that powers our cloud services. As a CO+I DIAT, you will perform a key role in delivering the core infrastructure and foundational technologies for Microsoft's online services including Bing, Office 365, Xbox, OneDrive, and the Microsoft Azure platform. Responsibilities
Purchase Order (PO) Management
- Create and manage PO’s in alignment with procurement policies.
- Track PO lifecycle and ensure timely approvals and processing.
- Assist Business Operations Managers with compiling and formatting reports.
- Maintain dashboards and trackers for operational metrics and supplier performance.
- Review and validate supplier invoices for accuracy and compliance.
- Flag discrepancies and coordinate with vendors and finance teams for resolution.
- Maintain logs and records for reporting cycles, PO status, and invoice audits.
- Ensure documentation is up-to-date and accessible for audits and reviews.
- Use Excel for data analysis, pivot tables, and reporting templates.
- Use Word for drafting SOPs , summaries, and formal communications.
- Facilitate routing of contracts for review and approval in line with compliance requirements.
- Monitor adherence to contractual obligations and escalate non-compliance issues.
- Liaise with legal and procurement teams to ensure compliance standards are met.
- Contribute to identifying opportunities for improving how business processes are conducted.
- Recommend and support implementation of workflow enhancements to reduce bottlenecks and improve turnaround time
- Strong proficiency in Microsoft Excel (pivot tables, formulas, charts) and Word (templates, formatting).
- Experience with PO systems and invoice processing tools.
- Excellent attention to detail and organizational skills.
- Ability to work independently and collaboratively across teams.
- Prior experience in business operations, procurement, or finance administration is preferred.
Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include, but are not limited to the following specialized security screenings:
- Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.
