For the European Medicines Agency (EMA), we are looking for a Project/Programme Officer to support the delivery of the Digital Business Transformation Task Force (TDT) initiatives. Working closely with the Project Management Specialist and Programme Manager, you will contribute to the planning, coordination, reporting, and communication of a portfolio of projects aimed at driving the Agency’s digitalisation strategy, fostering innovation, and improving operational efficiency.


What are you going to do?

As a Project/Programme Officer, you will support the Digital Change Workstream in the TDT by managing day-to-day project and programme activities. You will contribute to planning, coordination, reporting, communication, and administrative tasks to ensure the smooth delivery of digital transformation initiatives. You will support Agile practices, change management activities, and business process improvements while acting as a key interface between project teams, stakeholders, and external service providers.


Key responsibilities

  • Support project and programme planning, progress monitoring, reporting, and budget tracking.
  • Organise and coordinate meetings, workshops, Agile ceremonies, and events, including agendas, logistics, minutes, and follow-up actions.
  • Draft, format, and maintain project documentation using EMA templates and style guides.
  • Maintain project tracking tables, risk and issue logs, and portfolios to ensure accurate progress oversight.
  • Coordinate stakeholder interactions, ensuring timely and transparent communication with internal teams and external vendors.
  • Support content creation for presentations, news updates, and intranet messages to inform and engage stakeholders.
  • Assist in business design, process improvement, and change management activities within projects.
  • Support co-creation sessions, system demos, and Program Increment planning activities.
  • Keep project repositories and systems (MS Teams, Document Management Repository, Azure DevOps, Miroboards) up to date.


What do we offer?

A fulltime (40 hours per week), temporary assignment from 23-02-2026 until 31-12-2026 (assignment extension is possbile).


Salary range:

  • €5,036.62 gross/month (≥5 years of experience)
  • €5,698.69 gross/month (5–17 years of experience)
  • €7,295.27 gross/month (17+ years of experience)

What do we ask?

Education

  • Completed university studies of at least three years, attested by a diploma.


Experience

  • Up to 3 years of relevant professional experience.
  • At least 1 year of experience supporting project managers or managing projects, preferably in Agile environments.
  • Coordinating and organising projects, initiatives, meetings, and workshops.
  • Preparing content, presentations, and communications for internal stakeholders.
  • Project management methodologies (PMP, Prince2, Agile/Scrum) and/or change management practices.
  • Experience in Digital Solution Design and/or Change Management is highly appreciated.


Skills and knowledge

  • Knowledge and practical experience of project management frameworks (at least 1 year).
  • Analytical thinking and problem-solving skills.
  • Ability to deliver quality results under time constraints.
  • Strong communication and collaboration skills; team player.
