This Project Assistant role will be based in Helsinki and join our R&D organisation to support project delivery across research, engineering and innovation activities. The role focuses on coordination, administration and communication to ensure projects run smoothly and teams are aligned.

This Project Assistant role will be based in Helsinki and join our R&D organisation to support project delivery across research, engineering and innovation activities. The role focuses on coordination, administration and communication to ensure projects run smoothly and teams are aligned.
Main Responsibilities:
- Project coordination and administration: support project planning, maintain schedules, update project documentation, track milestones and deliverables.
- Meeting and workshop support: organise meetings and workshops, prepare agendas and materials, take minutes and follow up on action items.
- Stakeholder communication: act as a liaison between internal teams, external partners and academic collaborators; ensure timely information flow and clarify requests.
- Reporting and documentation: prepare regular status reports, compile technical and managerial summaries, maintain version-controlled repositories for project artefacts.
- Budget and procurement assistance: support tracking of project expenses, prepare purchase requests and liaise with procurement and finance teams as required.
- Risk and issue logging: maintain project risk and issue registers, escalate concerns to project leads and help co-ordinate mitigation actions.
- Event and travel coordination: arrange travel, visas and logistics for collaborators and visitors; support organisation of seminars and public events.
- Ad hoc support: assist with administrative tasks that enable research and engineering teams to focus on technical delivery.
- Degree or equivalent qualification in project management, business administration, engineering, science or related field, or relevant work experience.
- Previous experience supporting R&D, engineering or academic projects is an advantage.
- Familiarity with project management practices, tools (e.g., MS Project, Jira, Confluence or equivalent) and common office software (MS Office or Google Workspace).
- Good organisational skills with attention to detail and ability to manage multiple tasks concurrently.
- Strong verbal and written communication skills in English.
- Proactive, flexible and team-oriented approach with a problem-solving mindset.
- Ability to handle confidential information with discretion and maintain accurate records.
- Experience with basic financial administration and procurement processes.
- Experience supporting multi‑partner projects or international collaborations.
- Basic understanding of technical terminology in electronics, software or hardware development is beneficial.
- Comfortable working in a multicultural environment and supporting remote/hybrid teams.
