Job Purpose:
The Sales Coordinator supports the sales team by managing administrative tasks, coordinating with internal departments, handling documentation, and ensuring smooth execution of sales orders for medical equipment, consumables, and related services. The role ensures timely order processing, compliance with regulatory requirements, and high customer satisfaction.
Key Responsibilities:
- Act as a mediator between the sales team, customers, and other internal departments. Coordinate sales-related activities, meetings, and events.
- Provide assistance to the sales team by managing sales quotations, ensuring documentations –INV, DN, Installation report, and ensuring timely delivery of products to customers.
- Maintain and update customer records in the excel file and ensure accurate and up-to-date information is available from the sales team.
- Handle order processing, including PO creation, tracking of payment and goods readiness. Coordinate with the warehouse and logistics teams to ensure prompt delivery of orders.
- Generate monthly sales reports and analyze sales data to identify trends, opportunities, and potential areas for improvement. Outgoing quotation tracker updates to the sales team and management.
- Monitor inventory levels and assist in managing stock levels to meet market demand. Coordinate with Sales Manager to maintain sufficient stocks.
- Address customer inquiries, resolve issues, and ensure customer satisfaction. Provide aftersales support and follow-up to ensure customer retention.
- Provide insights and recommendations to the sales team and management to develop effective sales strategies.
- Ensure compliance with regulatory requirements and company policies. Maintain accurate sales documentation, contracts, and agreements.
- Collaborate with the Product Manager to develop sales collateral, promotional materials, and campaigns to support sales efforts.
- Work on the RFQs from Public Hospitals – HMC, Sidra, PHCC, Military etc. Source relevant suppliers and submit the bid in timely manner.
- Reports: Daily Report, Pending Tasks, Purchase report, Quotation Tracker, Monthly Sales Report (Outgoing quotations, Awarded, Closed, Pending, Conversion rate) Inventory Movement Report – Equipment.
Qualifications & Skills:
- Bachelor’s degree in Business Administration, Commerce, or a related field.
- 2–4 years of experience in sales coordination or sales administration, preferably in medical distribution.
- Knowledge of medical equipment, consumables, or healthcare procurement is an advantage.
- Strong communication and interpersonal skills for client and team coordination.
- Proficiency in MS Office, ERP systems, and project management tools.
- Problem-solving mindset with ability to work under pressure.
