Onboarding Specialist

As an Onboarding Specialist, you will be working for one of the most prestigious investment banks in the world. In this role, you will play a vital part in ensuring the smooth execution of onboarding operations and supporting employees and managers in HR-related matters. Your responsibilities will include handling administrative tasks, data entry, and participating in regional projects to enhance onboarding processes.

Your main responsibilities:

• Execute onboarding operations, including hiring, job changes, conducting physical signing sessions, and coordinating with Recruiting Coordinators.
• Prepare HR documents such as contracts, medical referrals, and employment addendums.
• Perform data entry and updates in TETA and Workday systems.
• Conduct process controls, data uploads, and reconciliations to ensure accuracy.
• Provide customer service support to employees and managers via the SNOW system for HR-related inquiries.
• Report on onboarding volumes and identify challenges for continuous improvement.
• Participate in country-specific or regional projects, offering valuable process and country-specific insights.

You're ideal for this role if you have:

• A minimum of 2 years of experience in onboarding operations, customer service, or employee services.
• Experience in HR, recruitment, or personnel administration processes.
• Proficiency in both Polish and English, spoken and written.
• Familiarity with TETA, Workday, and SNOW systems (a plus).
• Strong skills in Microsoft Office Suite, particularly Excel.
• Higher education qualifications and a basic understanding of employment laws.
• A detail-oriented, proactive mindset with a can-do attitude and openness to change.
