Executive Assistant to the C-Suite

We are seeking a highly experienced Executive Assistant who will be responsible for providing comprehensive support to C-suite executives for our high-profile client, an investment firm in Abu Dhabi with offices in London and New York.


This position is a 12-month contract role with and is non-renewable.


Key responsibilities:

  • The successful candidate will act as a trusted partner to senior leadership, ensuring seamless day-to-day operations, effective coordination across stakeholders, and proactive support across business and project activities.
  • Manage complex diaries and scheduling for C-suite executives, ensuring effective prioritisation of meetings and commitments.
  • Coordinate all travel arrangements, including flights, accommodation, ground transport, and detailed itineraries.
  • Manage bookings, logistics, and last-minute changes with discretion and efficiency.
  • Act as a central point of contact between executives and internal and external stakeholders, ensuring clear communication and smooth coordination.
  • Provide administrative and coordination support across multiple projects running in parallel within the business.
  • Track key deadlines, actions, and deliverables, ensuring timely follow-up and escalation where required.
  • Manage documentation, approvals, and signatures using digital tools such as DocuSign.
  • Set up and coordinate meetings, prepare agendas, circulate materials, and follow up on agreed actions.
  • Support general business administration, contributing to the smooth operation of the executive office in a high-pressure environment.


Knowledge, skills & experience:

  • Proven experience as an Executive Assistant supporting C-suite is essential
  • Exceptional organisational and time-management skills, with the ability to manage competing priorities.
  • Experience gained in structured, high-performance environments such as large corporates, blue-chip companies, or multinational organisations.
  • Strong communication skills and confidence working with C-level executives
  • High level of discretion and professionalism when handling confidential information.
  • Proficiency with digital tools and office systems, including document management and scheduling platforms.
  • Proactive, adaptable, and solutions-focused approach to work.


Availability:

  • Preference will be given to candidates available immediately.
