Context
You will join our HR Operations & Payroll team in Meyrin, composed of five professionals. In this role, you will contribute to a company-wide transformation aimed at digitalizing and modernizing HR processes to strengthen efficiency, compliance, and consistency across the organisation. We are therefore looking for a senior HR Operations specialist with an agile and proactive mindset, eager to play an active role in shaping our evolving HR function across our Geneva and Trimbach offices.
Role Summary
As Senior HR Operations Specialist, you will be responsible for managing HR administration from A to Z, ensuring accuracy, compliance, and service excellence across all employee-related processes. You will play a key role in payroll coordination, HRIS data quality, Swiss social security administration, and employee support, acting as a trusted partner for internal stakeholders and external authorities.
Main Responsibilities
HR Administration & Employee Lifecycle Management
- Manage end-to-end HR administration processes throughout the employee lifecycle (onboarding, contract management, changes, offboarding).
- Draft employment contracts, amendments, certificates, and other official employment documentation.
- Ensure accurate follow-up of employee changes, mutations, and departures.
- Act as a key contact person for employees regarding HR administrative questions and documentation.
Payroll Coordination
- Support end-of-year payroll activities, ensuring timely compliance with all statutory obligations.
HRIS Management (ABACUS) & Data Quality
- Maintain and update personnel master data in the HR information system ABACUS.
- Verify data accuracy for new hires, internal changes, and payroll-related updates.
- Ensure high-quality HR data standards (completeness, accuracy, and timeliness).
- Monitor and control time entry data and ensure consistency with payroll processing requirements.
Swiss Social Security & Insurance Administration
- Ensure compliance with Swiss labor law and social security regulations.
Stakeholder Management & External Relations
- Serve as the main point of contact for employees regarding payroll, insurance, and contribution-related questions.
- Coordinate with external partners (insurers, pension funds, payroll authorities, etc.).
- Maintain contact with official services and Swiss authorities.
- Obtain and manage operational permits and required employment documentation when applicable.
Process Improvement & Team Support
- Support the HR team with various administrative and operational tasks.
- Contribute to continuous improvement initiatives to streamline HR processes and ensure best practices.
- Document procedures, decisions, and internal HR workflows for consistency and knowledge sharing.
CANDIDATE PROFILE
Education & Certification
- Federal HR Specialist Certificate (Brevet fédéral en Ressources Humaines) or equivalent qualification.
Experience
- Minimum 5 years of experience in HR Operations in Switzerland.
- Strong hands-on experience in HR administration end-to-end.
- Strong working knowledge of Swiss labor law and Swiss social security regulations.
- Proven experience working with HRIS systems, ideally ABACUS.
Languages
- Fluent French (spoken and written).
- Very good working knowledge of English (spoken and written).
- German would be a big plus
