Job Title: Project Manager + Marketing Coordinator
About Us
Our client company is a full-service commercial and residential design studio managing projects from concept through turnkey installation.
Hours: Full-time; 40 hours/week (8 hours/day); PST hours preferred.
Role Overview: We are growing and looking for a highly organized, proactive Studio Project Manager with marketing coordination experience to help elevate both our internal operations and outward brand presence.
This role is responsible for:
- Owning project execution from design approval through installation
- Driving timelines, follow-ups, and purchasing coordination
- Supporting marketing initiatives and brand visibility
The ideal candidate thrives in structured environments, anticipates problems before they arise, and communicates clearly and confidently with clients, vendors, and internal team members.
Core Responsibilities
Project Management (Primary Focus)
- Maintain and oversee all project timelines and trackers
- Monitor “Need Reply” items and drive decision momentum
- Coordinate with vendors, workrooms, contractors, and delivery teams
- Manage purchasing schedules and installation planning
- Track proposal approvals, deposits, and order statuses
- Ensure installation readiness and scheduling
- Prepare and send bi-weekly client status updates
- Lead internal weekly project review meetings
- Anticipate scope creep and flag risks early
Client Experience
- Ensure client communication remains consistent and proactive
- Draft recap emails following meetings
- Track client approvals and payment timelines
- Maintain professionalism, warmth, and clarity in all correspondence

Marketing & Brand Support (Secondary Focus)
- Coordinate project photography scheduling
- Assist in preparing projects for publication submissions
- Manage social media calendar and light content posting
- Organize image library and vendor credits
- Help draft newsletters and marketing emails
- Track marketing initiatives and performance metrics
This is not a full marketing strategist role — but organization and consistency are key.
Must-Have Qualifications
- 3–7+ years experience in project management (design, architecture, construction, or creative industries preferred)
- Strong operational thinker with a systems mindset
- Proven experience managing multiple high-detail projects simultaneously
- Experience coordinating vendors, contractors, and installations
- Excellent written and verbal communication skills
- Highly organized and proactive
- Comfortable holding vendors and clients accountable
- Familiar with Google Suite; experience with project management tools required
- Interest or experience in marketing coordination is a plus
- Demonstrated ownership of projects from approval through execution
Bonus:
- Experience in an interior design firm
- Understanding of FF&E purchasing timelines
- Experience coordinating installations
