This unique and dynamic role offers a fantastic opportunity to play a pivotal part in supporting our European logistics operations and contributing to our strategic vision. As the Logistics Assistant, you will truly make a difference by helping our Europe Logistics team stay connected, operate efficiently, and make data-driven decisions in a fast-paced, multi-cultural environment. You will provide essential administrative support while also contributing to key analytical tasks that inform our logistics strategy.

Key Responsibilities

Management Assistant Responsibilities:

  • Calendar & Time Management: Proactively manage the Europe Logistics Director's complex calendar and ensure optimal time management.
  • Meeting & Event Coordination: Coordinate all logistics for regional team meetings and internal events, including venue, catering, agendas, presentations, and minutes.
  • Administrative Support: Provide comprehensive administrative support, including tracking action items, creating Purchase Orders (PO), and approving invoices.
  • Travel Management: Arrange all travel, visa, and accommodation needs, coordinating with Executive Assistants for Senior Management visits.
  • Deadline Management: Proactively advise the Logistics Director on impending internal and external deadlines for reports, presentations, and projects.
  • Stakeholder Liaison: Act as a primary point of contact for internal and external stakeholders, maintaining confidentiality and professionalism.
  • Presentation Support: Assist the Europe Logistics Director in preparing high-quality presentations and reports, often incorporating data insights.
  • Project Involvement: Contribute to ad-hoc or transversal projects within the logistics function as required.

Analytics Assistant Responsibilities

  • Data Collection & Compilation: Gather, compile, and organize logistics operations data, KPIs, and budget performance metrics in collaboration with the Business Performance manager.
  • Data Interpretation & Reporting: Support basic data interpretation and report generation to inform team decision-making.
  • Visual Reporting: Prepare clear and impactful visual presentations and reports from data insights.

HOW WILL YOU EXPERIENCE SUCCESS WITH US?

  • A genuine interest in logistics or operational logistics, demonstrating a desire to learn and grow within the field.
  • Exceptional organizational skills with the ability to manage multiple tasks simultaneously, solve problems effectively, manage and meet deadlines, and consistently deliver a high quality of work.
  • Strong communication skills, with the ability to connect easily with people, adapt to your audience and stakeholders, and build positive relationships.
  • A proactive and autonomous approach, coupled with an entrepreneurial spirit, always looking for opportunities for improvement.
  • Meticulous attention to detail and a creative flair, particularly in editing high-level PowerPoint presentations, Excel spreadsheets, and Word documents.
  • A good knowledge of data analytics tools. Experience with Power BI and SAP is a significant advantage.
  • Fluency in English is essential.
  • You are a discrete individual and understand the importance of confidentiality working with the Regional Director.
