Job Description

Metrolinx is connecting communities across the Greater Golden Horseshoe. Metrolinx operates GO Transit and UP Express, as well as the PRESTO fare payment system. We are also building new and improved rapid transit, including GO Expansion, Light Rail Transit routes, and major expansions to Toronto’s subway system, to get people where they need to go, better, faster and easier. Metrolinx is an agency of the Government of Ontario.

Our Executive and Specialized Talent Acquisition team is seeking a Talent Acquisition Assistant (TAA) to support all talent attraction and talent acquisition activities, for Executive and niche roles at Metrolinx. Reporting to the Senior Manager, Executive and Specialised Talent Acquisition, the TAA will focus on delivering exceptional customer and candidate experience for internal and external clients as well as participate in shaping Metrolinx employer brand.

What will I be doing?

  • Create and compile Talent Acquisition branding materials, talent maps and reports, executive summaries, presentations, interview guides and other documents.
  • Manage ATS requisitions (draft, edit, post and close jobs; draft offer letters; manage application stages and communication with the applicants).
  • Initiate and track the progress of background checks for new hires; troubleshoot any delays and keep the team up to date on progress.
  • Manage team calendars as well as coordinate virtual and in-person interviews.
  • Manage recruitment records, conduct regular audit of digital files.
  • Talent Acquisition Metrics, data governance and data gathering – generate and update reports.
  • Coordinate initiatives across the division and support continuous improvement.
  • Participate in Executive/Specialized Talent Acquisition projects and help coordinate Talent Acquisition campaigns.
  • Contribute to departmental planning by recommending process, policy, and procedure improvements and/or enhancements.
  • Work with all levels of Metrolinx staff to relay or exchange information in a timely manner regarding relevant talent acquisition and selection processes and procedures within Executive/Specialized team.
  • Provide other ad hoc support to the Executive/Specialized Talent Acquisition department.


What Skills and Qualifications Do I Need?

  • Completion of a diploma in Business Administration, Marketing, Human Resources, or a related discipline – OR a combination of education, training and experience deemed equivalent.
  • Demonstrated experience with Talent Acquisition life cycle, processes and procedures as well as understanding of digital marketing strategies and tools, including social media, and analytics.
  • Advanced technical skills in MS Office – Word, Excel, and PowerPoint;
  • Experience working with Applicant Tracking Systems as well as job boards like LinkedIn and Indeed.
  • Experience supporting talent acquisition projects and initiatives related to process improvement and service delivery.
  • Self-starter, with strong time management skills, comfortable with working in a fast-paced environment with competing deadlines.
  • High attention to detail and demonstrated client service excellence.
  • Strong teamwork and collaboration skills, with the ability to work independently.
