We are hiring a part-time Project Manager to support order operations, invoicing, and internal process improvement for a growing product-based business. This role sits at the intersection of operations, customer communication, and systems management. You will be managing incoming wholesale and custom orders, creating invoices, maintaining the master order log, and ensuring everything flows cleanly from Squarespace into ClickUp. This is a detail-heavy role with real ownership over accuracy and process optimization. Part-time. Fully remote. Must be ENGLISH-SPEAKING.
Hours: 20 hours per week. Flexible hours.
Salary: $950/mo
Key Responsibilities:
- Manage incoming wholesale orders and create invoices through Squarespace
- Create custom invoices for special and custom orders based on email threads and Squarespace orders
- Maintain and update the master order log in Excel (invoice status, order details, fulfillment stage)
- Manually transfer order information into ClickUp and ensure accuracy across systems
- Respond to customer emails and coordinate internally to find answers when needed
- Work with baking assistants to confirm feasibility of custom or off-menu requests
- Track invoice status (creating, sent, completed, etc.) with extreme accuracy
- Identify inefficiencies in current Excel + ClickUp workflow and recommend improvements
- Explore and implement automation opportunities where possible
- Ensure approximately 10–15 invoices per day are created accurately and on time
Key Qualifications:
- 2+ years of experience in a project manager or product manager role
- Strong Excel skills
- Experience managing operational workflows or order systems
- Comfortable using project management tools like ClickUp
- Experience with Squarespace or ecommerce order systems preferred
- Extremely detail-oriented
- Clear written communication skills (email-heavy role)
- Comfortable coordinating across teams to gather missing information
- Process-minded and able to improve and streamline existing systems
- Reliable and able to take ownership without constant oversight
Nice to have:
- Experience in food production, CPG, bakery, or fulfillment-based businesses
- Basic automation knowledge (Zapier, integrations, workflow tools)
- Experience managing wholesale or custom order workflows
