We are seeking a highly organized, high-agency Marketing & Web Project Coordinator to help drive the day-to-day execution of a large, multi-phase web application being rolled out across school districts statewide.
This is a hands-on coordination role.
You will not be managing from a distance. You will be actively involved in moving tasks forward, facilitating communication between developers and clients, QA’ing work before review, and ensuring requests are actually resolved, not just documented.
We’re looking for someone who takes ownership of delivery, learns the details deeply, anticipates issues before they surface, and keeps momentum strong across teams. The right person operates with independence, judgment, and initiative, not just process.
You’ll partner closely with an existing project leader who is actively involved in UX design, development coordination, and high-level client assurance. Your role is to own and advance the daily execution: keep communication tight, maintain clarity, follow up relentlessly, and step in when issues arise.
This role begins as a 12-week contract-to-hire engagement, with the intention to transition into a full-time position (salary + benefits + equipment) if it’s a strong mutual fit. We’re looking for someone who can step in quickly, operate with ownership, and grow into a long-term leadership role on the project.
Contract-to-Hire Structure & Compensation
- Structure: 12-week contract-to-hire
- Time Commitment: Full-time (40 hours/week)
- Pay Rate: $30/hour
- Classification: 1099 during contract phase
- Work Environment: Fully remote
- Equipment: During the contract phase, contractors are expected to use their own equipment. Company-issued equipment is provided upon conversion to full-time employment.
- Schedule: Core availability during standard business hours
- Conversion: Strong performance during the contract phase may lead to a full-time offer with benefits
- Benefits: Should the role convert to full-time employment, full-time employees are eligible for a standard benefits package, including health, dental, vision, retirement, life insurance, and short- and long-term disability coverage.
What You’ll Do
Client Communication & Meeting Leadership
- Serve as a primary communication channel for clients
- Lead and facilitate recurring meetings, standups, and project check-ins
- Capture and distribute clear, accurate meeting notes, decisions, and action items
- Proactively clarify requirements, timelines, and changes with clients and internal teams
- Evaluate new feature and change requests for scope fit, effort, and timeline impact, and communicate clear guidance back to both client and internal team
- Ensure clients feel informed and supported through proactive communication, not just reactive updates
- Anticipate client concerns and address them before they escalate
Project Operations & Delivery Ownership
- Own and advance project timelines, milestones, dependencies, and critical paths
- Maintain roadmaps, delivery plans, and risk tracking documentation
- Keep stakeholders aligned on what’s complete, what’s blocked, and what’s next
- Ensure decisions are documented and execution continues smoothly
- Resolve or escalate issues appropriately and in a timely manner
- Take operational ownership of delivery and continuously refine processes for clarity and efficiency
- Identify risks, gaps, and dependencies before they impact progress
- Hold internal teams and vendors accountable to commitments and deadlines
- Think several steps ahead to prevent issues rather than simply responding to them
Quality Assurance & Issue Flow
- Coordinate QA processes and issue tracking from identification through resolution
- Open staging environments and validate completed features before client review
- Organize bug lists, validate reports, and coordinate retesting
- Follow issues through to resolution and communicate updates clearly
- Ensure testing, fixes, and releases are handled in a structured, confidence-building manner
Vendor & Contractor Coordination
- Follow up consistently with development teams, third-party vendors, and service providers
- Manage escalations when something stalls, breaks, or requires immediate attention
- Maintain accountability and ensure turnaround times are met
- Help manage third-party providers to ensure performance and contractual alignment
Problem Solving & Execution Support
- Step in wherever needed as challenges arise
- Structure ambiguous tasks into clear workflows and next steps
- Support leadership with documentation, planning, and execution support
- Translate business needs into clear, actionable technical requirements
- Operate with independence and sound judgment
- Remain calm and structured when timelines tighten or clients are frustrated
- Create clarity in ambiguous situations without waiting for direction
What You Bring
Required
- Experience coordinating or leading software or web application projects in a client-facing environment
- Strong client communication skills – comfortable leading calls, asking direct questions, and providing clarity
- Ability to own execution and keep complex, multi-team projects moving forward daily
- Technical fluency that allows you to follow architecture discussions, data flows, APIs, modules, and development constraints
- Comfortable translating between technical teams and non-technical stakeholders
- Working understanding of modern web technologies such as PHP, SQL databases, Laravel, React/JS, HTML/CSS, hosting environments, and modern web development workflows
- You do not need to write code, but you must understand how web applications are structured and deployed
- Strong documentation, organization, and follow-through
- Ability to create structure and maintain clarity in complex, evolving environments
- Comfortable holding others accountable while maintaining strong working relationships
Nice to Have (Not Required)
- Experience with QA coordination, triage workflows, or structured testing processes
- Familiarity with Laravel and how it fits into a modern web application stack
- Experience in education, government, or multi-district rollouts
- Familiarity with collaboration tools like Asana, Slack, Wrike, etc.
