ODDIN.Design is a well established Ukrainian engineering and design company specializing in structural design, automation, and IT solutions. We serve clients across Scandinavia, the UK, and the EU. As we expand, we’re looking for a reliable, proactive, and detail-oriented coordinator to support our sales, and engineering departments.
Key Responsibilities
Client communication
• Scheduling calls and meetings
• Following up on emails and missing inputs
• Sharing updates, documents, and deliverables
Project coordination
• Tracking tasks, deadlines, and dependencies
• Updating schedules, trackers, or PM tools
• Preparing agendas, notes, and status reports
Administrative support
• Managing documentation and approvals
• Logging change requests and issues
• Supporting invoicing, contracts, or onboarding
Requirements
• 2+ years of experience in administrative, executive assistant, or project coordination role
• Strong organizational and multitasking skills
• Excellent written and spoken English (B2+ required)
• Comfortable with digital tools: Google Docs, Sheets, Wrike, Notion, HubSpot, or similar
• Responsible, fast learner, proactive communicator
• Interest in engineering, architecture, or IT a plus
