Data Slot is looking for a detail-oriented and proactive Project Coordinator to join our team and support the successful execution of smart office integration projects. If you're organized, communicative, and thrive in a fast-paced environment, this role is for you.
Role Overview
The Project Coordinator will play a critical role in managing the end-to-end execution of awarded projects. This includes overseeing documentation, coordinating with accounts and suppliers, maintaining project records, ensuring timely delivery, and handling client and supplier communications. The role requires attention to detail, strong organizational skills, and the ability to multitask across various administrative and coordination functions.
Key Responsibilities
Client & Account Coordination
- Forward client Purchase Orders (POs) and approved BOQs to the Accounts Team for
- invoicing.
- Ensure progressive installation and final project documentation are signed by the client
- and submitted for invoicing.
- Upload invoices to client portals and coordinate invoice submissions.
- Raise payment requests to the Accounts Team and share proof of payment with
- suppliers.
Procurement & Supplier Management
- Ensure internal Purchase Orders are raised for each project.
- Handle credit applications for suppliers when required.
- Coordinate receipt and delivery of goods/services to clients on time.
- Raise RMAs for faulty units and follow through on replacements.
- Request demo units as needed by the Technical Team.
Documentation & Reporting
- Maintain a master file for each project, tracking goods/services delivered.
- Maintain and regularly update the Purchase Order Summary.
- Upload and manage all awarded project files in Microsoft Teams.
- Assist the Accounts Team with quarterly reports and ARR forecasts.
- Submit requested reports and documents to the Managing Director as needed.
- Ensure weekly reports are submitted by the end of each week.
Pre-Sales & Registration Support
- Coordinate with the Pre-Sales Team to ensure timely submission of pending proposals.
- Support company registration as a supplier for tendering purposes.
Qualifications
- Bachelor’s degree in Business Administration, Project Management, or a related field.
- Minimum 3–5 years of experience in a project coordination or operations role.
- Strong understanding of procurement, invoicing, and delivery processes.
- Proficiency in Microsoft Office, Microsoft Teams, and project tracking tools.
- Must be based in Dubai, UAE
