Duties And Responsibilities
Responsible to provide support to Talent Acquisition team in the recruitment and selection process, orientation, and onboarding for professional services staff. Also responsible for coordinating casual pool recruitment.
- Maintains, tracks, and refreshes casual applicant pool
- Provides overall support to the Talent Acquisition Specialists and Officers including collecting job posting requirements, vetting applicants, supporting the recruitment and selection process, and verifying employee and job information with hiring manager and employee
- This position is responsible for following the current and approved process flow to properly notify internal HR stakeholders by completing required paperwork of new appointments, promotions and transfers for the enterprise system (Banner)
- Organizes and maintains competition file records by filing closed competition files and ensuring proper ongoing storage of files, including annual file archiving. This is completed both digitally and hardcopy as appropriate and required
- Prepares postings for internal and open competitions, maintains applicant tracking system, create job postings, and assembles competition files
- Assembles orientation and onboarding materials, introduces onboarding sessions, verifies and ensures validation of SIN & Date of Birth
- Makes logistical arrangements for interviews, candidate testing, and orientation sessions
- Interacts with vendors, system provider, recruitment firms, job boards and social media platforms to arrange services
- Support special projects e.g., casual pool recruitment process improvements, process mapping, and researches on best practices as directed
- Maintains filing systems in accordance with corporate records management policies and procedures.
The incumbent must possess the following qualifications:
- Knowledge of office administration policies, procedures, and processes
- Knowledge of collective agreements, recruitment and selection, orientation, and onboarding policies, procedures, and processes
- Knowledge of office as well as the broader university academic units, departments, and divisions
- Knowledge of office productivity software and databases, internet browsers and search engines, discipline-specific software, enterprise software, and technology devices
- Knowledge of cultural competency and diversity in a business context
The above is normally acquired through the completion of:
- Bachelors’ degree with equivalent education/experience
- CHRP will be an asset
- Minimum of three years of related administrative experience including a combination of customer or client service, recruitment, selection, orientation, or onboarding

Health and Safety Requirements
This position is regularly required to work on campus in person. If required to work remotely, you will be notified by your manager when working full time physically onsite will resume.
