About the role:
We are seeking a proactive, organised, and relationship driven Recruitment Coordinator to join the RCSI HR Team. This role is key in delivering a high‑quality recruitment and onboarding experience for all new hires across the University.
The ideal candidate will be a self‑starter with strong interpersonal skills, excellent attention to detail, and the ability to work in a fast‑paced environment. You will act as a central support to the Recruitment Partners, coordinating the full recruitment lifecycle—from advertising roles through to onboarding successful candidates.
A resilient, hardworking, and solutions‑focused attitude is essential, along with the ability to communicate confidently and positively with candidates, hiring managers, and external stakeholders. Experience within an administrative or coordinator-focused role is required, and while familiarity with academic, research, or medical sectors is advantageous, it is not essential.
About the RCSI HR Team
The HR Team at RCSI is led by HR Director, Barry Holmes, and consists of a collaborative group of HR Partners, Learning & Development, Operations & Organisational Change, Management Information, and the Recruitment Team.

As a Recruitment Coordinator, you will play a key frontline role—managing first impressions for all incoming staff and ensuring a consistent, positive, and seamless onboarding journey.
Specific duties:
The successful candidate will support the end‑to‑end recruitment and onboarding process, including but not limited to:
Recruitment Coordination
• Posting and managing job advertisements across Core eRecruit (CRM) and multiple external platforms.
• Coordinating interview schedules with candidates and hiring panels.
• Preparing comprehensive interview packs, documentation, and scoring sheets.
• Acting as a key point of contact for candidates, ensuring timely communication and an excellent candidate experience.
Onboarding & Compliance
• Supporting all onboarding activity for new starters to ensure a smooth, efficient, and welcoming experience.
• Managing compliance processes including:
o Garda vetting
o Occupational health
o Reference checking
o Qualification and right‑to‑work verification
o Liaising closely with the HR Operations Team on starter and leaver processes.
Data Management & Administration
• Updating and maintaining staff files, HR databases, and recruitment tracking systems.
• Producing regular reports on recruitment activity and compliance status.
• Ensuring high standards of data accuracy and integrity.
• Managing data entry tasks and maintaining confidential information in accordance with GDPR and HR best practice.
Stakeholder Management
• Building strong relationships with candidates, hiring managers, and recruitment partners.
• Liaising with external agencies, service providers, and other stakeholders to support recruitment activity.
• Providing excellent customer service and responding promptly to recruitment queries.
General HR Support
• Assisting with continuous improvement initiatives within HR.
• Supporting HR colleagues during peak periods or on special projects.
• Contributing to the overall positive culture and high-quality service ethos of the HR Team.
Essential Criteria:
The successful candidate should be able to demonstrate the following:
• Proven experience in administrative or coordination roles.
• Excellent organisational skills with the ability to prioritise tasks and manage deadlines.
• An effective and professional communication style.
• Ability to manage sensitive or confidential information with discretion.
• Strong IT proficiency, including MS Office (SharePoint, Teams, Outlook, Excel).
• Ability to work both independently and collaboratively within a team environment.
• A positive, friendly, and customer‑focused approach to work.
Desirable Criteria:
• Previous experience working in an educational institution
• Previous experience working in recruitment
• Knowledge of HR systems
