Resposibilities
- Managing office administration, including employee access and office supplies inventory
- Organizing and coordinating daily office operations and procedures
- Maintaining the general upkeep of the premises
- Carrying out routine checks to ensure safety and security
- Contacting relevant personnel to troubleshoot complex issues
- Interacting with clients and customers
- Overseeing and directing staff as required

- Handling correspondence (letters, including eDoreczenia in Poland, and courier services)
- Supporting the organization of office events
- Supporting the organization of offsite events in Poland (process and requirements support)
- Managing company cars
- Implementing office procedures and practices
- Maintaining telecommunications systems in Poland and the Netherlands
- Acting as travel administrator for external providers (creating and supporting employee travel, approving requests)
- Supporting procurement processes
- Proven experience in office coordination or a similar administrative/ back office role
- Ready to work fully on-site (100% office-based role) - office located in the center of Warsaw (Krucza 50)
- Proficiency in MS Office Suite
- Business-level English (minimum B2)
- Strong communication and teamwork skills
- Willingness to take initiative and act independently
- Positive, can-do attitude with a willingness to support others and contribute to a friendly work environment
- Ability to synthesize information and connect key facts
- Proactive approach to problem-solving and process improvement
- Ability to set priorities and manage resources effectively
- Comfortable working under pressure
