Position Description:

The Project Manager will plan, coordinate, manage and provide direction on client-focused legal technology projects as assigned by the APAC PMO Manager.


Working closely with the Pre-sales, Consultancy, Development and Support teams, the Project Manager will define and manage the full project lifecycle from project initiation, systems design, implementation, deployment and through to handover to support.


Experience with document management systems, case management platforms, and legal workflow technologies is essential.


This role would suit a candidate with law firm or corporate legal IT project delivery experience and ambitions for career growth in a rapidly expanding, global enterprise specializing in legal technology solutions.


Primary Responsibilities:

  • End-to-end responsibility and ownership for the definition, documentation and methodical execution of projects, including implementations and migrations of document management systems (iManage, NetDocuments, etc.) and case/matter management platforms (eg ShareDo, K2, MatterSphere etc.)
  • Effective stakeholder identification and management, including coordination with law firm stakeholders such as legal practitioners, legal operations, IT, knowledge and records management teams
  • Proactive definition of project scope, goals and deliverables that support business requirements in collaboration with identified stakeholders, with understanding of legal workflows, matter lifecycle management, and document-centric processes
  • Identifying and managing risks and issues to ensure effective resolution, including data migration projects with conflict checking, validation, and integrity assurance
  • Working with clients and internal staff to ensure project requirements are understood and the solution is fit for purpose; evaluate and make appropriate recommendations/decisions
  • Liaising with domestic and international clients, internal staff and service/product providers as necessary to drive project delivery
  • Managing project resources working across multiple regions and jurisdictions
  • Working closely with stakeholders to resolve delivery-impacting issues, escalating in a timely manner and managing all stakeholder expectations for projects
  • Clarifying and communicating strategies and requirements, and ensuring expectations are properly managed through regular meetings and status updates
  • Directing and motivating project team members to follow company-led processes and procedures
  • Proactively reporting and taking appropriate action if a project is likely to slip (cost/time)
  • Monitoring and controlling team performance against project plans
  • Issuing regular project reports in line with agreed project processes
  • Ensuring projects are adequately resourced for optimal productivity and customer satisfaction
  • Managing implementations and migrations of document management systems (iManage, NetDocuments, etc.) and case/matter management platforms
  • Understanding legal workflows, matter lifecycle management, and document-centric processes
  • Coordinating with law firm stakeholders including attorneys, legal operations, IT, and records management teams
  • Managing data migration projects including conflict checking, validation, and integrity assurance
  • Ensuring accurate project forecasting, effective resource management, and strict adherence to internal processes and methodologies using company-provided tools and systems


Duties & Accountabilities:

  • Reporting and taking direction from the APAC PMO Manager
  • Acting as a liaison between clients and technical consultants at all levels
  • Developing and managing detailed project plans
  • Regularly reporting on the progress of all tasks related to each project
  • Coordinating meetings, setting agendas, producing meeting minutes, actioning items and associated follow-ups
  • Travelling to service clients in Australia and internationally (on occasion, if required)
  • Ensuring all time is recorded accurately and in a timely fashion


Supervisory Responsibilities:

  • Day-to-day management of assigned project resources and providing appropriate feedback to line managers on the performance of assigned staff


Additional Responsibilities:

  • Being prepared to provide assistance outside of normal working hours, if occasionally required
  • Attending regular meetings as required by Management


Skills & Requirements:

  • Demonstrable experience managing IT projects within legal environments
  • Experience with legal technology platforms (document management, case management, matter management, legal holds)
  • Experience in managing projects in a fast-paced, changing environment
  • Experience in managing projects with multiple streams of dependencies
  • Proficient in Project Management - principles, methods, techniques and tools for the effective management of projects from initiation through to implementation
  • Understanding of legal industry compliance requirements, confidentiality protocols, and security standards
  • Knowledge of legal workflows including matter intake, conflict checking, document lifecycle, and records retention
  • Experience managing stakeholder expectations across technical and legal professional audiences
  • Hands-on ability to manage and mitigate risk
  • Good commercial awareness


Desired Skills:

  • Hands-on experience with iManage, NetDocuments, or similar DMS platforms
  • Experience with case/matter management systems (ShareDo, K2, MatterSphere, CaseFlow etc.)
  • Understanding of legal billing, timekeeping, and matter-centric financial tracking
  • Experience with legal-specific integrations (email management, conflict checking, document automation)
  • Familiarity with legal industry standards and best practices (ISO 27001, legal holds, litigation readiness)
  • Demonstrable use of an industry recognised project management methodology
  • An industry recognised qualification or comparable industry experience
  • Experience in producing reports and general administration in a time and billing system
