The Role

This is a hands-on, high-autonomy role. You will own people operations and office management end-to-end for a small, fast-moving team. There is no existing admin function to inherit. You will build processes from scratch, work directly with external providers, and progressively reduce the founders’ involvement in day-to-day operations.

What You Will Own

People Operations

  • Onboarding and offboarding of team members, including employment documentation, contract coordination, equipment allocation, benefits enrollment, and access management
  • e-CAC and FGTS processes, including issuing and managing digital certificates
  • Coordination of folha (payroll) with external payroll and accounting providers
  • Administration of health insurance (currently Pipo / Care Plus) and benefits (currently Swile)
  • Vacation tracking and leave management
  • Maintaining up-to-date employee records and documentation

Office & Vendor Management

  • Full ownership of the physical office: supplies, building and landlord relationship, utilities, cleaning, maintenance, and general team experience
  • Management of third-party service providers
  • Potential involvement in acquiring and building out new office space as we grow

Compliance & Governance Support

  • Maintaining an organized repository of corporate documents, vendor contracts, and insurance policies
  • Tracking renewal deadlines and key compliance dates

Cross-Functional Support

  • Assisting the marketing team with event logistics
  • Assisting the finance team with expense reimbursements
  • Travel and hotel booking for the team

Process Improvement

  • Identifying and improving operational workflows to reduce dependency on founders
  • Building repeatable, documented processes where none exist today

Technical Requirements

  • 3 to 5 years of experience in administrative, people operations, or office management roles, ideally at startups or small companies in Brazil
  • Direct experience with Brazilian employment processes: e-CAC, FGTS, digital certificates, folha coordination, CLT onboarding/offboarding
  • Fluent English (our working language) and native Portuguese
  • Experience working with external payroll, accounting, and benefits providers
  • Bias toward building systems and documentation rather than ad hoc problem-solving

Behavioral Competencies

  • Strong organizational instincts and comfort owning processes end-to-end without a team under you
  • Proactive in structuring processes and implementing controls where none exist
  • Detail-oriented with high standards for accuracy in documentation and records
  • Clear communicator across multiple stakeholder groups (team, vendors, landlord, service providers)
  • Comfortable operating in an early-stage startup environment with ambiguity and shifting priorities
  • Willingness to figure things out independently before escalating

Nice to Have

  • Experience in fintech, crypto, payments, or regulated financial services
  • Familiarity with tools like Notion, Slack, and Google Workspace
  • Experience supporting a distributed or partially remote team
  • Prior involvement in office buildouts or relocations

Work Model

Full-time, in-office at our São Paulo location. We believe the operational nature of this role requires consistent in-person presence, especially in the first months. Hours are flexible and focused on deliverables and business needs.
