What we are looking for:

We are looking for a professional and experienced People & Culture Coordinator to join our growing team. As a People & Culture Coordinator, you will provide day-to-day administrative support for the People & Culture team and act as a point of contact between People & Culture and its customers, handling queries and requests as they come in.

Key responsibilities as a People & Culture Coordinator will be:

  • Providing general administrative support - processing contractual changes, e-filing and general administration, including setting up new starters on the HR systems and filing confidential documents like return-to-work interviews and medical certificates.
  • Manage the probationary process, liaising with managers where required, ensuring reviews are conducted, recorded and scored and make confirmations in writing to employees.
  • Actively manage the temp-to-perm process
  • Manage and administer AWOL process.
  • Maintain accurate records using the People Portal, TMS and e-files.
  • Support employees with payroll queries.
  • Producing daily KPI's / Weekly KPI's.
  • Build up to becoming global superuser on the People Portal, dealing with queries and supporting builds as required.
  • Support the People & Culture Business Partner with administration tasks.
  • Provide support to the People Services Team as required.
  • Scheduling of disciplinary, grievance and appeal hearings.
  • Absence management - Daily updating and monitoring of TMS absence records and prompting required action with line managers, booking occupational health referrals.
  • Keep track of long-term sickness cases, including prompting managers and arranging meetings, and chasing certificates.
  • Monitor for signs of modern slavery using the systems available, passing findings to the LET P&C team to follow up.
  • Payroll Process Management:
  • Process all starters and leavers in the Sage payroll system, ensuring accurate calculations and application of all adjustments.
  • Prepare payslips and finalise payslips for hourly paid employees

Required experience/expertise to succeed as a People & Culture Coordinator will include:

  • Good level of experience and proficiency of Microsoft Office including Excel=
  • CIPD qualified - Foundation level or working towards qualification (desirable, not essential)
  • Excellent written and oral communication skills in English - Minimum Junior Certificate C level
  • Experience in administration, ideally HR
  • Experience in working with a HRIS and time and attendance systems
  • Knowledge of Irish employment legislation (desirable)
  • Strong organisational and prioritisation skills
