We are seeking a Team Assistant to support the Middle East and Africa Production team based in Amsterdam. This position will assist in the management of a busy department, supporting the Head of Production by handling a high volume of emails, organising meetings and offsite events, managing calendars and travel, creating presentations/slides, and helping to coordinate team travel, providing overall support to the wider production team.
The person in this role will be self-motivated, adaptable and thorough. They will be able to manage multiple and diverse responsibilities with a strong emphasis on organisation and attention to detail. This environment requires someone who is proactive, solutions-focused, able to exercise good judgment, communicate clearly, and work effectively with multiple stakeholders. The role supports a team that oversees shows produced across Sub-Saharan Africa and the MENA region, and involves interactions with external teams and third-party producers.
Specific Responsibilities Include, But Are Not Limited To
- Provide executive-level support including complex calendar management across time zones, travel coordination (domestic and international), and expense processing.
- Coordinate international travel for the broader Production team.
- Plan and coordinate internal and external meetings, offsites, and team events, ensuring all logistics and materials are handled accurately.
- Schedule and prepare team meetings, manage agendas, capture notes and action items, and help ensure follow-through on key decisions.
- Support projects by creating presentations, templates, and briefing materials as needed.
- Champion the use of internal systems and tools, helping to identify opportunities for increased efficiency, automation, and more effective workflows.
- Collaborate closely with other assistants and stakeholders, surfacing opportunities for alignment and knowledge sharing.
- Maintain flexibility to evolve with the team as this role may expand to support additional Production Executives or projects over time.
- Support onboarding tasks for new hires joining this team.
- Coordinate talent / launch gifting and events.
- Experience as an assistant or executive assistant in a corporate or production environment.
- Effective written and spoken communication skills in English (additional languages are a plus).
- Demonstrated interest in entertainment.
- Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Slides), and comfort with technology and learning new tools.
- Able to work effectively across time zones, cultures, and functions.
- Able to work effectively both independently and as part of a team, bringing creativity and resourcefulness to support the group’s success.
- Sound judgment and discretion when handling confidential information.
- Ability to prioritise effectively while remaining adaptable amid frequent change.
- Well organised and motivated by finding efficiencies.
- Curiosity about new technologies and AI tools, and interest in exploring how they can support productivity and communication.
- Commitment to ongoing learning and development.
