About This Role

As the Project Management Coordinator | Product, the contractor will support Creative Operations by coordinating operational requests that involve collaboration with Product and Engineering. This role will help organize, track, evaluate, and provide input on the prioritization of bugs, system issues, and operational improvement requests that affect the creative operation.

The contractor will assist with business requirements documentation, workflow mapping, lightweight process mockups, user acceptance testing coordination, validation, and related activities that help clearly define operational needs and support successful deployments. This role also helps coordinate and support the operating rhythm between Creative Operations and Product and Engineering through recurring meetings, agendas, notes, follow-ups, and status tracking.

This role sits within Creative Operations. It is intended to improve visibility, coordination, and follow-through on operational issues and requests that depend on Product and Engineering support. This role does not directly manage engineers, control engineering resources, own the product roadmap, or run projects within the Product and Engineering organization. Instead, it represents Creative Operations' needs, helps coordinate cross-functional input, and supports progress on work that impacts operations.

Work Hours: 9:00 AM to 6:00 PM EST/PST

Coordinates with: Creative Ops Leadership, Project Managers, Engineers, Creative Operations Team, Customer Success Team

Location: Remote, open to candidates in Argentina, Mexico, Colombia, Peru, he Philippines, Malaysia, Indonesia, or India.

Specific Scope Of Services

  • Bug Tracking and Coordination: Track, organize, and maintain visibility into bugs, defects, and system issues impacting Creative Operations. Help ensure issues are clearly documented, appropriately categorized, and consistently followed through from identification to resolution
  • Prioritization Support: Evaluate bugs, requests, and system needs based on business impact, operational risk, user experience, urgency, and downstream effects. Recommend prioritization to leadership and support alignment around what should be escalated, addressed, or deferred.
  • Business Requirements Documentation: Assist in drafting, organizing, and refining business requirements for operational needs requiring Product and Engineering support. Help translate operational pain points into clear problem statements, use cases, workflow needs, requirements, and expected outcomes.
  • Workflow Mapping and Process Mockups: Create lightweight process mockups, workflow diagrams, and current-state-to-future-state process documentation to support planning, alignment, and solution design. Coordinate the development of UI mockups and related design support with the appropriate Center of Excellence or designated partners as needed.
  • Cross-Functional Coordination: Coordinate collaboration between Creative Operations and Product and Engineering, while also partnering cross-functionally when changes affect other teams such as Customer Success or other operational functions. Help collect input, organize feedback, and maintain alignment across impacted stakeholders.
  • Meeting Facilitation and Operating Rhythm Support: Organize, facilitate, and coordinate daily and weekly operations and Product and Engineering meetings, including agenda preparation, note taking, action item tracking, and follow-up communication. Help ensure recurring discussions remain focused, documented, and actionable.
  • Operational Impact Analysis: Analyze system issues, enhancement requests, and workflow challenges to identify business impact, process friction, inefficiencies, dependencies, and risks. Provide recommendations and context to support informed decision-making.
  • Progress Tracking and Reporting: Maintain organized records of open issues, requests, requirements, decisions, dependencies, and next steps. Provide regular updates to operations leadership on status, blockers, timelines, risks, and recommended actions.
  • UAT, Validation, and Testing Coordination: Help coordinate user acceptance testing, validation, and related testing efforts in support of deployments and system changes. Partner with stakeholders to confirm testing needs, organize participation, document outcomes, and help verify whether delivered changes meet the intended operational requirements.
  • Release and Deployment Support: Support readiness activities tied to deployments, process changes, and system updates affecting Creative Operations. Help coordinate communication, documentation, validation follow-up, and post-release review to improve successful adoption and issue resolution.
  • Results Monitoring: Track and evaluate the effectiveness of implemented fixes, process changes, and system improvements. Help identify whether outcomes match business needs and provide input on adjustments needed to improve performance, usability, or operational efficiency.
  • Continuous Improvement: Identify recurring issues, process breakdowns, and coordination gaps in how Creative Operations partners with Product and Engineering. Recommend practical improvements that strengthen visibility, documentation quality, prioritization, and execution.
  • Documentation Management: Maintain accurate and organized records of requirements, workflows, testing outcomes, process changes, meeting notes, and reference materials. Help ensure documentation remains current, accessible, and aligned with operational needs.
  • Support and Assistance: Support other related coordination, documentation, and operational planning needs as reasonably requested by the client, provided such work remains aligned with the Creative Operations coordination function of this role.

Requirements

  • Experience in project coordination, product operations, operations support, process improvement, or a related function
  • Strong written and verbal communication skills, with the ability to translate operational needs into clear documentation, action items, and requirements
  • Strong organizational skills and attention to detail
  • Ability to coordinate multiple workstreams, issues, meetings, and follow-ups across cross-functional teams.
  • Experience assisting with business requirements documentation, workflow mapping, and process design
  • Experience coordinating user acceptance testing, validation, or structured testing efforts in support of system changes
  • Ability to assess business impact and support prioritization discussions with leadership
  • Ability to work effectively across operations, customer-facing teams, and technical teams without direct authority over resources
  • Strong analytical and problem-solving skills
  • Ability to work independently, manage ambiguity, and maintain momentum on open items
  • Proficiency with Jira, Confluence, Figma, and standard collaboration tools
  • Experience supporting cross-functional initiatives that impact operational teams and customer-facing workflows is preferred
  • Familiarity with creative operations, service delivery environments, or production workflows is preferred
