The Head of Project Management is responsible for ensuring the production engine runs effectively across all client engagements. Working in close partnership with Operations Excellence, who designs the systems and automation that power delivery, you ensure those systems are executed consistently and effectively by the PM team.  Your mission is to ensure that every client-facing project at Ready Set is delivered with surgical precision, on time, and within budget.

You don't just follow the system; you are the primary operational  feedback loop that helps improve it over time.. You understand the specific needs of the teams and partner closely with Operations Excellence to provide real-world feedback that informs system improvements and workflow evolution.. You are responsible for project delivery discipline, resource coordination, and the flawless execution of our world-class ad production.

You will act as a mentor to our PM team, ensuring that we reliably achieve success for our clients. You are the bridge-builder who aligns Creative, Media Buying, the Creative Supply Chain, and Account teams, ensuring that as we scale, our quality and speed never falter.


The Head of Project Management works in close partnership with Operations Excellence.

  • Operations Excellence owns system architecture, automation, tooling, and operational infrastructure.
  • The Head of Project Management ensures delivery teams operate effectively within those systems and provides feedback to improve them.

Together, these functions ensure Ready Set’s production engine scales efficiently without sacrificing quality or speed.


The Head of Project Management also works in close partnership with the Creative Supply Chain

  • Creative Supply Chain creates and optimizes new and current production pipelines, defining which ones should be actioned for each client requirement.
  • The Head of Project Management ensures client requirements and client strategies are aligned with the operations and makes sure the processes are accurate and properly followed to achieve goals.

  • Together, these functions ensure Ready Set’s production engine scales efficiently without sacrificing quality or speed.


    Key Responsibilities
    • Process Standardization & Discipline: Establish and enforce project management standards, templates, and operating practices across all accounts, ensuring every project follows a clear, repeatable, high-efficiency lifecycle. You will turn "winging it" into a disciplined and reliable delivery process.
    • Team Leadership & Mentorship: Serve as the direct manager and technical expert for the Project Management team. You will be responsible for their professional growth, performance tracking, and resource leveling.
    • Cross-Departmental Alignment: Act as the primary "bridge" between departments. You’ll work closely with the Creative and the Creative Supply Chain heads to remove bottlenecks, resolve resource conflicts, and ensure deadlines are respected across the board.
    • Operational Excellence: Oversee the high-level health of project portfolios. While you won't manage day-to-day client emails, you will step in to mitigate high-level risks and ensure teams operate effectively within the delivery workflows designed by Operations Excellence.
    • Tooling & Automation: Ensure the Project Management team effectively operates within the tools and systems provided by Operations Excellence (e.g., Monday.com, Slack, SCF). Partner with OpEx to identify opportunities for workflow improvements and automation based on real project delivery needs.

    • Agency Veteran: You understand the unique chaos of marketing and ad production. You know how to manage the "urgent vs. important" dance and can speak the language of both designers and account executives.
    • A true manager: You are a leader who enjoys coaching others on technical PM skills, conflict resolution, and timeline management.
    • Strategic Problem Solver: You don’t just fix a late project; you fix the process that allowed the project to be late in the first place.
    • A connector: You live in the crossroads of all the execution teams and help everyone get connected and in sync.


    Qualifications
    • Experience: 7+ years in Project Management, with at least 3+ years in a leadership role within a marketing or ad production agency.
    • Technical Mastery: Advanced expertise in Monday.com (or similar enterprise-level PM tools), Slack, and Google Workspace. Experience with resource management and capacity planning software is a must.
    • Proven Impact: A portfolio of success stories where you successfully standardized workflows or improved delivery margins across a multi-team organization.
    • Communication: Exceptional ability to translate complex operational needs into simple, actionable steps for diverse teams.
