POSITION SUMMARY
The Production Coordinator/Project Manager will manage day-to-day studio production
across photo shoots, video shoots, and still content creation. The Production
Coordinator/Project Manager will be the primary contact for customers as it relates to all
phases of pre-production, production and post-production, while ensuring exceptional
customer experience and quality of work
JOB DUTIES
Pre-Production
-Leading client calls (program kick-off call, pre-production call) and internal client briefs.
-Managing development of all pre-production documents with creative team.
-Working collaboratively with all internal teams to deliver on the brand’s style.
-Arranging client product shipment, and manages any follow-up inquiries to ensure it arrives
on time.
-Keeping all content program information up-to-date using Tag Canada’s program
management software.
-Implement project schedules and coordinate resources ensuring all activity is completed to
the agreed deadlines.
-Track budgets and reconcile PO requests, invoices, and receipts.
On-Set / Production
-Running production date for all clients (get clients settled upon arrival, join virtual studio for
remote clients, etc.).
-Serve as on-set point of contact for crew, talent, and internal teams.
-Supporting creative studio in maintaining the day’s timeline and communication
adjustments.
-Ensure all safety, compliance, and brand guidelines are adhered to on set.
Post-Production
-Organize and deliver raw assets to post-production team.
-Track edits, versioning, and feedback rounds.
-Ensure file naming conventions and metadata requirements are followed.
-Coordinate final deliveries (stills, video masters, cutdowns, alt versions) to client or
appropriate platforms.
-Attend project post-mortem call with client and Account Management team.
Operational Support
-Manage the overall planning, control, status reporting and delivery of projects from start to
completion to ensure that project goals and objectives are met within the agreed upon
time, scope, budget and resource requirements.
-Primary contact for clients as it relates to photo and video production to ensure exceptional
quality work and customer experience.
-Develop and maintain a strong relationship with the client and consistently strive to exceed
their expectations. Maintain a good understanding of the client and their organization.
-Ensure issues requiring escalation are routed to the appropriate contact and resolved.
-Communicate consistently with project stakeholders and executives as appropriate,
ensuring deliverables are being met by all team members at all stages of the project.
