About the Role
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and operational support to the CEO of a fast-growing tech company. This role requires exceptional attention to detail, the ability to manage competing priorities in a high-speed environment, and an unwavering commitment to confidentiality. The ideal candidate will act as a strategic gatekeeper, manage complex logistics, and anticipate the CEO’s professional and personal needs.
Key Responsibilities
Executive & Administrative Support:
- Calendar Management: Proactively manage a dynamic and complex calendar, balancing internal and external commitments with meticulous attention to detail.
- Travel Logistics: Coordinate all aspects of domestic and international travel, including flights, accommodations, ground transportation, and the creation of detailed itineraries.
- Liaison & Communication: Act as the primary point of contact between the CEO and internal teams, board members, and external stakeholders.
- Documentation: Prepare, proofread, and format high-level documents, presentations, and reports, ensuring they are board-ready and professionally presented.
- Financial Administration: Process expense reports, invoices, and purchase orders with accuracy and strict adherence to company policy.
- Inbox Management: Monitor and prioritize incoming communications; draft responses and delegate tasks to ensure timely follow-up.
Operational & Project Support:
- Event Coordination: Organize large-scale meetings, team offsites, and corporate events, including agenda development and logistics.
- Project Tracking: Monitor key milestones and deliverables, providing proactive reminders to the CEO and relevant leadership members.
- Confidentiality: Handle sensitive business and personnel matters with the utmost discretion and professionalism.
- Personal Support: Assist with light personal tasks as required to maximize the CEO’s professional focus and efficiency.
Qualifications
Required:
- Experience: 5+ years of experience as an Executive Assistant or Personal Assistant supporting C-suite executives, preferably in the tech sector.
- Technical Proficiency: Expert-level skills in Google Workspace (Gmail, Calendar, Docs, Sheets) and communication tools like Slack and Zoom.
- Communication: Outstanding written and verbal communication skills with a refined, professional tone.
- Logistical Expertise: Demonstrated ability to coordinate complex, multi-leg international travel and manage high-pressure calendar shifts.
- Resilience: Strong organizational skills with the ability to remain calm and effective under tight deadlines.
Preferred:
- Bachelor’s degree or equivalent professional qualification.
- Experience in a global or tech-centric corporate environment.
- Familiarity with project management tools
