HR Administration Specialist with Spanish (m/f/d) for the shared service center based in Warsaw.

The role requires advanced administration and organizational capabilities along with the ability to focus on high quality, prioritize workloads, and demonstrate a customer-oriented working attitude.



Responsibilities

  • Close cooperation with major stakeholders: HR BP, Regional Director & external vendors
  • Providing first-level support via email, Microsoft Teams chat, tickets and phone,
  • Administration of employees’ data during employee lifecycle (hire to retire) in Success Factors
  • Administration of time management tools
  • Preparing employee documents
  • Onboarding online session
  • Benefits administration
  • Coordination of business activities for technicians to provide them access to client’s sites for maintenance of Bruker equipment
  • Maintenance of documents according to local law
  • Review data and follow up on discrepancies to ensure accuracy
  • Performance of other duties as assigned or required
  • Organising Health & Safety & Medical check ups
  • Collection of monthly changes for payroll input



Qualifications

  • Minimum 2–3 years of relevant work experience in HR Administration
  • Strong written and verbal Spanish and English communication skills (Spanish C1 level; English B2 level).
  • Bachelor’s or master’s degree in relevant field.
  • Strong customer service and interpersonal skills.
  • Familiar with HR services and processes as well as HRIS tools and systems (Success Factors is a plus).
  • Experience working with a team of HR professionals who are not co-located.
  • Attention to detail.
  • Demonstrated ability to build positive and productive work relationships with people at all levels (i.e. teamwork and customer satisfaction).
  • Operates at the highest standards of business ethics, honesty and personal integrity.
  • Incumbents must respect and protect personal employee privacy and use the utmost discretion when assisting employees with confidential information.
  • A detailed and organized individual who will monitor outstanding tasks and ensure resolution.
